We are seeking a Medical Office Administrator for a Full-Time Position to join our team. Work schedule is from Monday to Friday, 9:00 am to 6:00 pm or 8:00am to 5:00pm.
Job Responsibilities include:
- Greets patients and visitors both at the clinic and/or over the telephone
- Answers inquiries by phone and in person in a professional manner that is helpful, respectful, and efficient
- Handles clinic emails and voice messages
- Ensures and maintains patient confidentiality and professional boundaries with patients
- Coordinates patient care through the clinic, including checking in and preparing exam rooms for the next patient if needed
- Processes external referrals and notifies patients accordingly
- Operates and ensures maintenance of the patient appointment system
- Maintains the Electronic Medical Record and updates physician schedules
- Files/scans all faxes and paper copies of lab reports and clinical information, such as referral letters and other correspondence, into patient charts
- Performs clerical duties (e.g., photocopies, faxes, messages, emails, picks up/delivers mail)
- Performs general opening and closing procedures of the clinic
- Ensures exam rooms are stocked appropriately
- Maintains files, petty cash, inventory, and ordering of office supplies
- Assists in the care and maintenance of office equipment
- Collects fees for items/uninsured services provided by the clinic to clients as required
- Coordinates with technologists on daily schedules and workflow
- Greets patients upon arrival and validates their OHIP information
- Prepares patients for their exams
- Assists patients in filing insurance documents
- Maintains a clean office environment (i.e., cleaning and sanitizing the reception, waiting room, changing room, and washroom)
- Performs any other relevant administrative duties
- Completes any other related duties in the interest of efficient clinic operations as assigned
Required Skills:
- Strong preference for applicants with a Diploma/Certificate in Medical Office Administration
- Minimum 2 years of medical office experience and working knowledge of basic medical terminology
- Must be proficient with computers, email, word, excel and windows.
- Effective organizational, time management, and problem-solving skills
- Excellent customer service, interpersonal, and communication skills
- Excellent command of the English language, both verbal and written
- High degree of accuracy and attention to detail
- Ability to work effectively independently as well as within a team setting
- Strong multi-tasking skills
- Ability to work independently on assigned tasks as well as accept direction on given assignments
- Able to work collaboratively with administration and staff
- Able to maintain the confidentiality of private information
- Ability to speak English and Chinese (Cantonese and Mandarin)
