Job Overview
The Family Programs Childcare & Family Place Co-ordinator is responsible for the day-to-day operation of Mosaic’s Care for Newcomer Children (CNC) program, delivered as part of Family Programs. The Co-ordinator takes the lead in ensuring compliance with CNC requirements and the delivery of safe, inclusive, culturally responsive, and child-centred care.
The Coordinator also provides supervisory oversight of the Mosaic Family Place program, including staff supervision, daily operations, and the delivery of responsive, developmentally appropriate programming for children and families.
The Coordinator works collaboratively with staff, childcare providers, families, and community partners to support high-quality, inclusive Family Programs.
Duties and Responsibilities
· Provide leadership and day-to-day coordination of Mosaic’s Care for Newcomer Children (CNC) and Family Place programs, ensuring high-quality, safe, inclusive, culturally responsive, and child-centred services.
· Ensure compliance with all applicable CNC short-term childcare requirements, Mosaic policies and procedures, and health, safety, supervision, and emergency standards.
· Lead the recruitment and hiring of childcare staff in collaboration with the Family Programs team and in accordance with Mosaic policies.
· Supervise, support, mentor, and provide ongoing guidance to childcare and Family Place staff, ensuring adequate staffing levels and arranging coverage or substitutes as required.
· Support the development and delivery of developmentally appropriate, engaging, multicultural, and inclusive programming that responds to the needs of children and families.
· Ensure programming promotes children’s well-being, positive self-concept, sense of belonging, and social and emotional development, while respecting and valuing their cultural and linguistic backgrounds.
· Work with staff to support children’s early English-language development while maintaining and valuing their first languages.
· Ensure appropriate, safe, and culturally relevant toys, equipment, supplies, and program materials are available and maintained across program sites, including management of the Family Programs Toy Lending Library.
· Maintain positive and respectful communication with parents and caregivers regarding children’s participation, behaviour, development, and well-being, and provide information, orientation, and referrals to Mosaic services and community resources as appropriate.
· Identify and respond appropriately to concerns related to children’s development, behaviour, or well-being, in collaboration with families, staff, and community resources when required.
· Ensure accurate and up-to-date program and child records are maintained, including registration, attendance, activity plans, snack plans, incident documentation, and other required records.
· Monitor program implementation and identify opportunities to strengthen service quality and respond to emerging needs of children and families.
· Contribute to program planning, evaluation, reporting, and continuous quality improvement.
· Build and maintain positive working relationships with families, staff, community partners, and other stakeholders to strengthen Family Programs services.
· Maintain confidentiality of all information relating to children, families, staff, and Mosaic programs.
· Perform other related duties as required to support the effective delivery of Family Programs.
Administration and Supervision:
· Lead the recruitment and hiring of Family Place staff, childcare assistants, facilitators, substitutes, as approved and confirmed by the Director of Family Programs.
· Prepare and provide HR with required hiring information, including the designated Excel staffing summary, to support the preparation and issuance of Letters of Employment.
· Supervise, support, and provide ongoing guidance , training, mentorship and professional development to staff and volunteers, including conducting self reviews.
· Develop and maintain seasonal schedules for Family Programs childcare staff and facilitators in Payworks, and coordinate staffing changes, replacements, and coverage to ensure adequate program staffing.
· Collect and review childcare and facilitator timesheets each pay period, and expenses receipts and submitted for payroll processing and for the Director of Family Programs’ approval.
· Issue invoices when been requested, ensuring information is complete and accurate and complete and documents in an Excel sheet.
· Organize and participate in childcare, Family Programs, supervisory, and team meetings, ensuring key decisions, follow-up actions, and meeting notes are documented as required.
· Participate in an annual self-review with the Director of Family Programs and contribute to program planning, evaluation, reporting, quality assurance, and continuous improvement initiatives.
· Serve as Mosaic’s primary contact with CMAS and liaise with the CMAS-appointed consultant in Manitoba regarding Mosaic’s short-term Care for Newcomer Children programs.
· Maintain and update CNC manuals, policies, procedures, and related program documentation as required.
· Liaise with partner organizations providing short-term childcare on a contract basis, including attending meetings, assessing sites and staffing, supporting agreements in consultation with the Director of Family Programs, monitoring program delivery, and addressing or reporting concerns.
· Coordinate and document required fire drills at program sites each term, in collaboration with relevant staff.
· Purchase and monitor program supplies and maintain accurate inventories of toys, equipment, and other resources.
· Ensure appropriate cleaning, sanitation, and maintenance practices are followed for toys, equipment, and program spaces.
· Promote Mosaic’s programs and services and maintain effective communication and collaboration with families, staff, internal departments, and external partners.
Qualifications
· Early Childhood Education Level II certification, or higher.
· Solid understanding of family literacy, early childhood development, and child-centred practice.
· Demonstrated leadership, supervision, mentorship, planning, organizational, and problem-solving skills, with experience supervising and supporting staff.
· Excellent verbal, written, interpersonal, and relationship-building skills, with strong attention to detail.
· Demonstrated ability to coordinate multiple programs, staff, schedules, and priorities effectively and work collaboratively as part of a small team.
· Strong computer skills, including proficiency with Microsoft 365, particularly Word and Excel, and the ability to learn and use program databases such as CARMIS.
· Experience working in a multicultural environment and sensitivity to the needs and experiences of immigrant and newcomer families.
· Knowledge of a language other than English is an asset.
· Physical stamina and ability to work safely and effectively with active young children.
· Valid Police Vulnerable Sector Check and clear Child Abuse Registry Check.
· Valid First Aid/CPR certification (Level B or equivalent).
· Ability to travel within the city mandatory
Job Details
- Location: 397 Carlton Street
- Schedule: 35 hours per week, Monday to Friday, 8:30 a.m. to 4:00 p.m.. Some evening and weekend work may be required. The position is permanent and is offered for 42 weeks per year.
- Salary: $29.87 plus 4% vacation pay and access to Mosaic’s group benefits after successful completion of the six-month probation period
