Turnbull's Grove Inc. is a member-owned seasonal recreational community governed by a volunteer Board of Directors. We are seeking a highly organized and detail-oriented Administrative Assistant to provide corporate and administrative support to the Board and help ensure the efficient operation of the Corporation.
This is an ideal opportunity for someone who enjoys working independently, has strong organizational skills, and is experienced in administration, governance support, or board administration.
Position Summary
The Administrative Assistant will support the Board of Directors by maintaining corporate records, coordinating meeting administration, assisting with communications, and helping ensure important documentation and compliance requirements are organized and maintained.
Key Responsibilities
- Prepare and distribute meeting agendas and supporting materials
- Attend Board and membership meetings (virtual and occasional in-person) and prepare meeting minutes
- Maintain corporate records, policies, contracts, and key documentation
- Organize electronic filing systems and records retention
- Support membership changes and maintain directory of members
- Assist with member and Board communications
- Track action items and follow-up activities
- Support annual meeting preparation and related documentation
- Assist with administrative tasks related to corporate compliance and governance
- Provide general administrative support to the Board as required
Qualifications
- Previous experience in administration, executive support, office management, or board governance support
- Exceptional organizational and time-management skills
- Strong written communication skills
- Proficiency with Microsoft Office, Microsoft TEAMS, and electronic document management
- Ability to handle confidential information professionally
- Self-motivated and able to work independently
Preferred Qualifications
- Experience preparing meeting minutes
- Experience supporting Boards of Directors, non-profit organizations, municipalities, or community organizations
- Knowledge of corporate records management and governance processes
Hours
- Approximately 5–20 hours per month, depending on seasonal workload
- Flexible scheduling
- Additional hours may be required during annual meeting preparation and special projects
Location
- Primarily remote
- Occasional attendance at meetings in the Dashwood, Ontario area may be required
Pay: From $30.00 per hour
