About the Position
We are looking for a reliable and organized Temporary Office Administrator / Receptionist to join our team and provide coverage during an employee’s maternity leave and our seasonal busy period. All Green is an irrigation and landscape lighting company based out of Niagara on the Lake and has been in business for 40+ years in the Niagara Region.
This is a seasonal position running from August through November, followed by a scheduled break during December, January and February, with the position resuming in mid-March and continuing through the remainder of the maternity leave coverage period.
This position is ideal for someone who is organized, comfortable communicating with customers and technicians, and able to manage multiple tasks in a busy office environment.
Key Responsibilities
- Answer and direct incoming phone calls in a professional and friendly manner
- Respond to customer and company emails promptly and professionally
- Schedule service calls, appointments and technician visits using scheduling software
- Enter and update customer information and service details
- Use billing software to assist with invoicing, account updates and other administrative tasks
- Assist with general office administration and data entry
- Communicate with technicians regarding schedules, appointments and customer requests
- Follow up with customers as required
- Maintain accurate and organized customer records
- Assist with day-to-day office operations and other administrative duties as needed
- Provide general support to the office team during the busy irrigation season
Qualifications & Skills
- Previous experience in reception, office administration, customer service or a similar role is an asset
- Strong verbal and written communication skills
- Comfortable answering phones and communicating with customers professionally
- Strong organizational and time-management skills
- Comfortable learning and using computer software and new programs
- Experience with billing or scheduling software is an asset
- Ability to multitask and prioritize in a fast-paced environment
- Strong attention to detail and accuracy
- Reliable, dependable and able to work independently
- Positive, team-oriented attitude
What We’re Looking For
The ideal candidate is someone who is friendly, dependable, and organized. Our office can be busy, particularly during peak season, so the ability to stay calm, prioritize tasks and communicate clearly is important.
Experience in the irrigation, landscaping or service industry is helpful but not required. We are willing to train the right candidate on our specific software and procedures.
Position Schedule
- Days/Hours of work: Day shift Monday-Friday, 35 hours/week
- August–November 2026: Seasonal employment
- December 2026–February 2027: Scheduled seasonal layoff
- Mid-March 2027 onward: Return to work for continued maternity leave coverage
- Maternity leave coverage expected to conclude: July 2027
