The Royal Architectural Institute of Canada (RAIC) is seeking a highly organized and detail-oriented Administrative Assistant, Executive Services (Part Time), to support the day-to-day operations of our Executive Services department.
Reporting to the Manager of Executive Services, this role provides administrative and operational support for governance activities, Board and committee operations, executive administration, projects, meetings, and stakeholder communications.
This is an excellent opportunity for an experienced administrative professional who enjoys working in a collaborative, fast-paced environment and takes pride in keeping complex activities organized and running smoothly.
Key Responsibilities
- Provide administrative support to the Manager of Executive Services and assist with daily departmental operations.
- Coordinate meetings, calendars, travel, and departmental logistics.
- Prepare and distribute agendas, reports, correspondence, presentations, and meeting materials.
- Support Board and committee meetings, governance processes, and Annual General Meeting activities.
- Maintain records, departmental files, trackers, and governance documentation.
- Assist with project coordination, research, reporting, and special initiatives.
- Coordinate communications with staff, volunteers, consultants, and external stakeholders.
- Process invoices, track expenses, and provide general administrative support as required.
- Contribute to continuous improvement of administrative processes and perform other related duties.
Qualifications, Skills and Competencies
- Diploma or certificate in Office Administration, Business Administration, or a related field.
- Minimum two years of administrative experience, preferably in a non-profit, professional association, governance, or executive office environment.
- Excellent organizational, communication, and time management skills with strong attention to detail.
- Proficiency in Microsoft 365, including Word, Excel, Outlook, PowerPoint, and SharePoint.
- Ability to manage confidential information with professionalism, discretion, and sound judgment.
- Experience supporting a Board of Directors or governance committees is considered an asset.
- Bilingualism (English and French) is considered an asset.

Job Type: Part-Time, Permanent

- Monday to Friday, 18.75 hours per week.
- Hours and schedule to be determined based on operational requirements
