What You'll Do
The successful candidate will act as the face of the firm, providing exceptional client service as the first point of contact for clients and visitors. This individual will collaborate closely with accountants and keep partners informed of client communications, requests, and important updates to ensure seamless service delivery. You will be helping create a positive and professional experience from the moment the clients walk through our doors.
Your responsibilities will include:
- Greeting clients and visitors in a warm and professional manner
- Answering and directing incoming phone calls
- Scheduling appointments and managing calendars
- Supporting and acting as a backup for payroll
- Assisting with client onboarding and administrative processes
- Supporting clients with CRA account setup and registry-related requirements
- Handling recurring documentations for the clients
- Performing data entry and maintaining accurate records
- Organizing the filing system for all the clients
- Coordinating incoming and outgoing mail and courier packages
- Monitoring office supplies and placing orders when needed
- Providing administrative support to the accounting team
- Assisting with special projects and additional office duties as required
What We're Looking For
Required Qualifications:
- Minimum 1 year of experience in an administrative assistant, receptionist, or office support role
- Strong verbal and written communication skills
- Professional, positive, and customer-focused attitude
- Excellent organizational and multitasking abilities
- Strong attention to detail and accuracy
- Ability to learn and retain new information quickly
- Proficiency in Microsoft Word, Excel, and Outlook
- Ability to communicate fluently in English, Hindi, and Punjabi
Assets (Nice to Have):
- Diploma or certificate in Business Administration or a related field
- Experience working in an accounting, legal, or professional office environment
- Familiarity with payroll-related software or tasks
- Experience assisting clients with government registrations or CRA-related processes
Compensation & Schedule
- Full-time position (44 hours per week)
- Monday to Friday, with occasional Saturdays as required
- Competitive hourly wage of $16.00–$18.50, based on experience and qualifications
