Purpose and Scope
The Site Manager is the key coordinating role in the management of a residential property, being responsible for ensuring that the needs of our Tenants are met, but also coordinating the activities of the rest of the site team. Duties include customer care, administration, coordinating maintenance and work orders, collecting rent, leasing vacant suites and renewing existing leases, and a wide range of administrative tasks under the direction of the Property Manager.
Job Summary
We are seeking a highly organized and proactive Residential Site Manager to oversee daily operations at our residential property. The ideal candidate will be responsible for maintaining property standards, managing tenant relations, and ensuring smooth administrative functions. This role requires excellent communication skills, strong attention to detail, and experience in property management to deliver exceptional service and operational efficiency.
Responsibilities
Customer Service & Administration
· Assisting tenants with concerns related to the property, their lease, payments, etc.
· Working to create a friendly and welcoming environment for residents.
· Preparing and delivering forms, documents, notices, announcements, and communicating with Tenants as required.
· Screening and processing applications, preparation of lease paperwork, and assisting with the move-in process.
· Maintaining site records using various online tools and databases.
· Providing regular reports and updates to the Property Manager, escalating significant issues and decisions to them when required.
Leasing
· Responding to rental inquiries from prospective tenants via telephone, text, and e-mail.
· Conducting showings of vacant units and encouraging prospective tenants to rent.
· Scheduling move-ins and move-outs with Tenants, conducting walkthroughs and inspections as required, and providing orientation and site tours to new Tenants.
Rent Collection
· Ensuring rent payments are collected on time each month.
· Following up on late payment by phone, text, e-mail, and with official notices.
· Preparing and delivering eviction and other official notices to Tenants where required and as directed by the Property Manager.
Maintenance
· Monitoring and coordinating required maintenance work around the property in conjunction with the site maintenance team.
· Assisting the rest of the staff where required to keep the property clean, tidy, and looking its best.
· Scheduling, monitoring and supervising the activities of outside contractors.
