Job Summary
The Student Coordinator is responsible for the day to day administration of student registrations, scheduling records, billing coordination, and customer service at the Visionary Centre for the Performing Arts.
The Student Coordinator serves as an important point of contact for students, parents instructors and management, ensuring that registrations and program operations run smoothly and that families receive a professional, welcoming experience.
Key Responsibilities
- Process new and returning student registrations.
- Provide families with information about programs, classes, instructors, schedules, tuition, policies and performance opportunities.
- Assist families i selecting appropriate programs and lesson times.
- Maintain accurate student profiles, contact information, program enrollment and attendance records.
- Process withdrawals, transfers, make-up lessons and schedule changes.
- Maintain waiting lists and follow up with prospective students.
- Coordinate student and instructor schedules.
- Maintain accurate class and lesson schedules.
- Monitor room and facility usage and coordinate scheduling changes.
- Communicate schedule changes, cancellations and important program informations to families and instructors.
- Assist with scheduling recitals, concerts, rehearsals, camps, workshops and special events.
- Identify scheduling conflicts and work with instructors and management to resolve them.
- Respond promptly to questions and concerns.
- Resolve routine customer service issues and escalate more complex matters to management when appropriate.
- Develop positive relationships with families and help create a welcoming experience at the Centre.
- Follow up with prospective students and families to encourage enrollment.
- Process registrations, payments, deposits, refunds, credits and account adjustments in accordance with Centre policies.
- Monitor outstanding student accounts and communicate with families regarding balances.
- Coordinate with accounting staff regarding tuition and account issues.
- Prepare registration and enrollment reports for management.
- Maintain accurate administrative records and documentation.
- Ensure that Centre policies and procedures are consistently followed.
- Provide instructors with accurate class lists, schedules, attendance information and relevant student information.
- Communicate administrative information to instructors.
- Assist with instructor scheduling and substitute arrangements when required.
- Help ensure instructors have the information and resources necessary to deliver their programs effectively.
- Assist management with student retention and enrollment initiatives.
- Follow up on enquiries, trials, leads and prospective students.
- Identify opportunities to increase enrollment in under-subscribed programs.
- Assist with open houses, registration events, promotional activities, and community events.
- Maintain accurate lead and enquiry information.
Pay: $40,000.00-$45,000.00 per year
