Position Overview
The Accounting & Finance Operations Coordinator will play a critical support role within the accounting department, assisting with day-to-day financial operations, collections, vendor analysis, and customer onboarding.
This is a broad, hands-on role that requires strong organizational skills, financial acumen, and the ability to work independently while supporting the Accounting Manager and leadership team.
Key Responsibilities
Accounting & Financial Operations
- Support day-to-day accounting functions, including Accounts Receivable and Accounts Payable activities
- Perform accurate data entry related to financial transactions, billing, and operational records
- Support cost analysis initiatives to identify savings and efficiency opportunities
- Prepare schedules, reports, reconciliations, and supporting documentation as required
- Generate daily, weekly, and ad-hoc financial and operational reports for management
- Provide general administrative support to the accounting department as required
- Support special projects and additional administrative duties as needed
Pricing, Rating & Delivery Controls
- Review, validate, and price deliveries accurately in accordance with customer agreements and internal rate structures
- Lock deliveries in the system once pricing and billing details are confirmed
- Identify and resolve pricing discrepancies in collaboration with operations and sales teams
- Maintain accurate pricing records and documentation within accounting and TMS systems
Accounts Receivable & Collections
- Monitor accounts receivable aging reports
- Follow up with customers regarding outstanding balances
- Resolve billing discrepancies and payment issues in coordination with operations and sales
- Maintain accurate customer account records and communication logs
Customer Onboarding & Setup
- Support customer onboarding from a financial and administrative perspective
- Set up new customer accounts in accounting, billing, and TMS systems
- Ensure proper credit approvals, documentation, and billing configurations are completed
- Act as a liaison between accounting, sales, and operations during onboarding
Qualifications & Experience
Required
- 2–5 years of experience in an accounting, finance, or operations support role
- Strong understanding of accounting fundamentals (AR, AP, reconciliations)
- Experience working with accounting software and ERP/TMS systems
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
Preferred
- Experience in transportation, logistics, or service-based industries
- Intermediate Excel skills (pivot tables, lookups, reporting)
- Familiarity with credit management and collections processes
