What will you be doing as the Operations Administrator:
The Operations Administrator is responsible for the day-to-day operation of administration for the Calgary Branch / Prairies Region, ensuring that the office and organization has the tools to function and execute on specific operations tasks; tasks include both AP & AR.

Branch Coordination
Provide branch IS support (equipment, SAP system support, updates and system change advice/training)
Act as branch SAP Super User to support sales and operations daily transactions, process changes from COE and troubleshooting
Act as branch Primary SAP Master Data Captain. Provide assistance to sales and operations with any changes
Plan branch functions/events
Handle AP processes such as invoice printing, getting approvals, filing documents and providing monthly accruals
Provide cover for invoicing
Submit hourly payroll for employees and placement agency and vacation tracking
Provide information or support to employees for Metrie benefits or payroll
Act as Alarm/Security Coordinator (alarm, keys etc.)
Ensure branch supplies are replenished
Maintain general upkeep of the branch
File any operations documents and pull them as needed
Coordinate and participate in safety meetings
Maintain branch safety documents such as MSDS on-line, forklift checklists, and audit sheets
Support execution of safety tasks as needed
Process vendors claims (RMA)
Run Inventory Reporting and Balancing : blocked inventory, RMA, sales orders with invoicing blocks, cut moulding report, COGI errors and missing parts
Process Inventory Stock Adjustments
Conduct physical inventory coordination, variance analysis and reporting
Process consignment Inventory transactions
Process inventory movement transactions between sites and inventory receiving for offsite (3PL)
Organize daily door shop production scheduling
Confirm daily door production and resolve any related discrepancy
Coordinate and monitor specific operations processes such as pick-ups, kanban, and “Red Star” orders.
Build and maintain Excel reports (database such as quality defect pareto)
Produce any ad-hoc reports for Operations
Provide and maintain Operations KPI’s/scorecard
What background will make you successful?
3 to 5 years administrative experience preferred in a similar environment (manufacturing or distribution)
SAP experience, or similar environment, is strongly required
Ability to communicate effectively in writing and verbally
Ability to set priorities and in problem solving
Strong reporting, spreadsheet management and creation skills along with a strong understanding and ability to utilize Excel
A customer-focused approach to dealing with internal and external stakeholders
Adheres to organization's security and confidentiality policies
Ability to work independently and as part of a team
