Senior Dental Receptionist / Treatment Coordinator

About the Position
We are seeking an experienced Senior Dental Receptionist / Treatment Coordinator to take a key role in the front office of our established Richmond Hill dental practice.
This position is ideal for a confident, organized dental professional who understands that an exceptional patient experience starts at the front desk. You will take ownership of daily front-office operations, coordinate treatment and scheduling, communicate with patients and insurance companies, and work closely with the dentist and clinical team to keep the practice running efficiently.
This is not an entry-level reception position. We are looking for someone with strong dental office experience who can work independently, make sound decisions, manage competing priorities, and take initiative.
Key Responsibilities
- Manage daily front-office operations and patient flow
- Coordinate and optimize the appointment schedule
- Welcome patients and provide a professional, warm first impression
- Answer phones, emails, and patient inquiries efficiently and professionally
- Present and coordinate treatment plans and follow up with patients
- Process dental insurance claims, predeterminations, estimates, billing, and payments
- Manage patient accounts, outstanding balances, collections, and accounts receivable
- Maintain accurate patient records and documentation
- Coordinate closely with dentists, hygienists, assistants, and other clinical team members
- Follow up on outstanding treatment plans, recalls, and unscheduled treatment
- Monitor the schedule and identify opportunities to improve production and patient flow
- Handle patient concerns with professionalism, discretion, and good judgment
- Order supplies and maintain an organized and efficient front office
- Train and support new front-desk team members when required
- Assist with administrative responsibilities and practice systems
- Contribute ideas that improve efficiency, communication, and the overall patient experience
Qualifications
Required:
- Minimum 5 years of dental reception / dental administration experience
- Strong knowledge of dental insurance, treatment coordination, billing, and scheduling
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to work independently in a busy dental environment
- Professional, confident, and patient-focused approach
- Strong computer and administrative skills
Strong Assets:
- Abeldent experience
- Previous treatment coordination experience
- Previous dental assisting experience
- Previous lead receptionist, office manager, or supervisory experience
- Experience with dental collections and accounts receivable
- Experience coordinating larger or complex treatment plans
- Proficiency with Microsoft Excel and Google Workspace
