Position: Bridgepoint Family Health Team, Medical Administrative Assistant
The Bridgepoint Family Health Team (BFHT) is looking for Medical Administrative Assistant, who will efficiently assist with all office procedures and will be responsible for providing reception, and administrative support to the team. As the face of the BFHT, the Medical Administrative Assistant is a vital part of our team that sets the friendliness and tone for our organization. The Medical Administrative Assistant will assist in the quality of care to clients through the management of records, assuring the accurate recording and retrieval of electronic medical record (EMR) data. The Medical Administrative Assistant will provide administrative and scheduling support to the physicians and other allied health staff. The Medical Administrative Assistant will maintain confidentiality in all aspects of client, staff, and agency information and acts in an ethical and professional manner. This is a Full Time –Contract position for 6 months.
BFHT provides primary care to 6000+ patients from the East Toronto community and across the GTA. Our team uses an innovative service model that includes the patient as a full partner in their care. We bring family physicians together with inter-disciplinary health care professionals - including a nurse practitioner, registered nurses, social workers, pharmacists, diabetes nurse/dietitian educators, and specialist physicians - who work as a team to provide the best patient care possible.

Roles and responsibilities include:
Clinic Flow
- Open exam room doors/turn on lights/computers
- Clean and organize exam rooms between patients
- General overview of provider schedule/room allocation
- Prepare supplies for visit as needed (pap kit w/labels, suture kits, etc.)
- Rooming patients to exam rooms
- Guide patient to the correct, clean exam room
- Prepare the patient prior to clinician visit: vitals, gowning, etc.
Direct Patient Care
- Take patient’s vitals as per appointment purpose
- Prepare and administer immunizations
- Conduct other procedures as directed, under the supervision of a clinician (physician, nurse practitioner or registered nurse)
- E.g. immunizations/ strep tests/ear cleaning/urine dip/urine HCG test/visual acuity/ ECG/staple/suture removal/wound care)
Quality Assurance
- Emergency Cart review: maintenance, stocking (monthly and following emergency use)
- Vaccine fridge temperature recording (twice daily)
- Preparation of equipment for Sterilization (weekly)
- Inspection of Medical Equipment (quarterly)
- Dashboard management (daily)
Administrative tasks
- Front desk coverage as needed
- Scanning/report entry (into electronic medical records)
- Sorting of electronic messages into electronic medical records
- Faxing
- Manage medical supply inventory, ordering as needed (weekly)
- Medical documentation of tasks done (electronically)
- Immunization card entry
- Referrals management
- Room supply management
- Communication with patients: via phone, email
EDUCATION AND EXPERIENCE:
- Medical Assistant Certificate of completion from an accredited school or college an asset
- Two years’ experience preferred as a Medical Assistant and/or Administrative Assistant (or Medical Receptionist) in a primary care clinic
- ACLS or BCLS certified
- ECG, Immunizations, and/or Point of Care testing experience
- Experience working with Microsoft Office Suite, Microsoft Outlook email.
- Prior experience and knowledge of electronic medical records required; knowledge of Telus Practice Solutions and/or Ocean systems would be an asset
- Ability to work alternate Saturday mornings as needed

- Well-developed organizational skills with the ability to work in a fast-paced environment
- Highly comfortable with computerized workplaces; daily computer-based tasks will make up much of your day
- High attention to detail
- Excellent interpersonal, oral and written communication skills
- A solid understanding of medical terminology
- A demonstrated ability to maintain confidentiality
- Ability to use good judgment in assessing potentially difficult situations
- Ability to work independently and take direction under the supervision of a medical practitioner
