Job Summary
We are seeking a highly organized and proactive Office Administrator to join our team at The Cosmetic Haus. The ideal candidate will be responsible for ensuring the smooth operation of our medical spa by managing administrative tasks, supporting staff, and maintaining effective communication within the organization. This role requires a strong understanding of office procedures, excellent phone etiquette, and proficiency in various administrative tools, including QuickBooks. Additionally, this position involves social media content creation, product sales, and light cleaning to ensure a welcoming and professional environment for our clients.
Responsibilities
- Administrative & Office Management:
- Manage front desk operations, greet visitors, and handle inquiries with professionalism.
- Maintain organized filing systems for both physical and digital documents.
- Oversee payroll processing and ensure timely submission of employee hours.
- Utilize QuickBooks for financial record keeping and reporting.
- Develop training materials and assist in training new staff members as needed.
- Operate phone systems efficiently, ensuring clear communication with clients and team members.
- Perform clerical duties such as data entry, scheduling appointments, and managing office supplies.
- Support management in various administrative tasks to enhance office productivity.
Social Media & Client Engagement:
- Capture behind-the-scenes moments and create engaging social media content (Instagram, TikTok, etc.).
- Help grow our online presence by showcasing our treatments, services, and client results.
- Interact with clients on social platforms to enhance brand visibility and engagement.
Product Sales & Clinic Maintenance:
- Educate clients on skincare products and assist with retail sales.
- Ensure reception and treatment areas are always clean, organized, and welcoming.
Qualifications
- Proven experience in an administrative role or similar position.
- Proficiency in QuickBooks and other office software applications.
- Strong organizational skills with attention to detail.
- Excellent phone etiquette and interpersonal skills for effective communication.
- Ability to handle multiple tasks simultaneously while maintaining a positive attitude.
- Familiarity with payroll processes is a plus.
- Experience in training development is desirable but not mandatory.
