We are a small, established boutique litigation firm in Calgary — and we’re growing.
We’re looking for an experienced Legal Administrative Assistant / Office Manager who is organized, resourceful, good with people and interested in combining litigation support with responsibility for keeping a small office running smoothly.
You’ll work directly with the firm’s founding lawyer and take real ownership of the administrative side of the practice — from court filings and client files to billing, vendors, technology and the systems that keep the firm organized.
The position will start at approximately 20–25 hours per week, with the intention that it can develop into a full-time position as the firm grows. For the right person, there is also an opportunity to take on increasing responsibility for the firm’s systems and day-to-day operations.

What You’ll Actually Do
Variety is a big part of this job.
On any given day, you might file documents with the Court, organize materials for an upcoming application, chase down an expert report, help open a new client file, prepare an invoice — and then figure out a better way for us to handle one of our administrative processes.
Your responsibilities will include:
- Managing client files, correspondence and documents, including consistent electronic filing and document naming
- Managing calendars, deadlines, appointments, meetings and court dates
- Preparing, formatting and proofreading correspondence and legal documents
- Filing documents with the Alberta Courts and other registries
- Assisting with Land Titles, corporate and other searches and filings
- Organizing documents and materials for litigation matters, applications and hearings
- Coordinating with clients, opposing counsel, experts, process servers, court runners and other service providers
- Handling prospective-client inquiries, scheduling consultations, sending intake forms and opening approved matters
- Assisting with timekeeping, pre-billing, invoicing, expense entry, receipts and appropriate follow-up on outstanding accounts
- Processing vendor invoices and liaising with the firm’s bookkeeper or accountant as needed
- Opening, closing and archiving files and maintaining accurate administrative records
- Managing day-to-day office needs, including mail, couriers, supplies, equipment, subscriptions, repairs and service providers
- Coordinating office technology and software access, working with IT support and troubleshooting basic issues
- Supporting onboarding by arranging equipment, system access, training and routine personnel records
- Helping maintain the firm’s website and lawyer profiles and coordinating approved marketing projects and providers
- Scheduling meetings, preparing basic reports, researching suppliers, obtaining quotes and assisting with special projects
- Creating useful checklists, precedents and administrative systems
- Identifying inefficient processes and helping design practical improvements
- Spotting things that need attention, troubleshooting, and taking the initiative to resolve issues
Who We’re Looking For
Ideally, you have 3–5 years of experience working as a legal administrative assistant preferably in litigation or an office manager. More importantly, you’re someone who:
- Is exceptionally organized and notices details other people miss
- Takes responsibility for getting things finished
- Can manage competing priorities without becoming flustered
- Has good judgment and knows when to take initiative — and when to ask
- Is friendly, professional and comfortable dealing directly with clients
- Is confident with technology and enjoys learning new systems
- Doesn’t need detailed instructions for every new task
- Sees an inefficient process and wants to improve it
- Can work independently
- Has a sense of humour and enjoys working in a small, collaborative environment
Experience with Alberta court procedures and electronic filing is strongly preferred.
Experience with CosmoLex, Microsoft 365 and Adobe Acrobat would be an asset.
A Legal Assistant diploma or equivalent training would also be an asset.

As the firm grows, there will be opportunities to take ownership of broader parts of the business, including workflow, billing, technology, vendor management, onboarding, office administration and coordination of approved marketing projects.
For someone interested in that progression, the position could ultimately develop into an Operations Coordinator or Operations Manager role, with meaningful influence over how the firm’s administrative systems evolve.
