Job Title: Dispatch Assistant

Department: Main Office

Status: Full-time (hourly)

Reports To: Dispatch Coordinator, Fenceline Rentals Ltd.

Job Overview:

The Dispatcher assists with the planning, management, and evaluation of scheduling and dispatching fence, toilet, and waste crews. He/she is essential to maximizing crew efficiency, prioritizing work loads, anticipating scheduling conflicts, and ensuring all service requests are completed on time. He/she is expected to be proactive and anticipate the needs of toilet, fence, and waste crews. The Dispatcher also fulfills an administrative role by filing paperwork, monitoring driver progress, processing orders, and managing driver concerns. Working closely with management and administrative staff, the Dispatcher takes customer service orders and requests for quotations and enters them into CRM software.

Key Ares of Responsibility:

  • Work closely with the Dispatch Coordinator to set and realize goals, plan workloads, and oversee field crews
  • Receive and dispatch orders for services, products and deliveries in high volumes on a daily basis
  • Provide clients with route status of field services
  • Close out dispatches that have been completed with appropriate information provided by crew
  • Provide availability of equipment to clients
  • Enter data/dispatches in SalesForce system and maintain logs or call records for referral
  • Monitor / communicate with drivers concerning issue throughout their route and schedule interferences so clients may be advised if required.
  • Confirm trucks and/or bins are prepped for the next day
  • Advise personnel about traffic problems such as construction areas, accidents, congestion, weather conditions, and other hazards
  • Assist with scheduling fleet maintenance and supply orders with vendors
  • Comply with all applicable federal and state regulations regarding operation of commercial vehicles
  • Proactively troubleshoot and resolve potential problems before they result in service issues
  • Safety – ensure staff are aware which jobs require proper Personal Protective Equipment (PPE) or additional certification and/or orientation
  • Perform other duties and projects as assigned

Qualifications:

  • High school diploma (or equivalent)
  • Excellent organizational and problem-solving skills
  • Ability to work in a fast-paced, high pressure environment
  • Experience with dispatching and/or CRM software
  • Strong sense of customer service
  • Fluent in English – knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
