Why is this role important?
The Lakeshore Office Manager will be responsible for managing and running the day to day operation of the office while playing a leading role in the general wellbeing of our colleagues. Management of daily activities will be guided by national office standards and will reflect Loblaw companies core values. Office Manager will provide feedback, supervision and hands on guidance as required to ensure that the various services needed by the office and the business. Ensure any new initiatives being introduced by the management team are being delivered smoothly, to a high standard, and in a manner, that meets the expectations of the business. The successful Candidate will be responsible for but not limited to;
Work closely with the S. Director of Office Services and the other members of the office team to ensure that all services and initiatives related to the Lakeshore office are being delivered with agreed upon standards to meet yearly objectives
Monitor all aspects of office operations and bring any problems, concerns, gaps, or opportunities for improvement to the attention of the S. Director
Serve as the main contact person for the Business Units and staff at the Lakeshore office for all administrative and operational matters; facilitating solutions by taking ownership and working with the Business Units to address the requests
Serve as the main contact, when appropriate, for various outside vendors to facilitate effective communications and the delivery of required services in a quality and cost-effective manner. Review and authorize local expenditures and reimbursement requests, within the limits set by the S. Director
Serve as the Main Contact for the Company owned and managed onsite Gym, including cleaning and safety protocols. Work with Gym Equipment vendors to ensure regular maintenance program on equipment is done regulary
Be proactive in looking for and identifying areas and procedures that need improvement for the benefit of the Lakeshore office and the company initiatives.
Ensure company policies and procedures are followed and identified to the appropriate leader’s where they can be improved for the Business Unit or for the Lakeshore office in particular.
Lead and coordinate social events and activities in the Lakeshore office, as may be directed from time by a Business Unit lead or by the company as requested.
Monitor office morale and proactively work with the Business Units identify concerns or opportunities. Recommend and, upon approval, plan social events or initiatives that will help create and maintain a positive, respectful, professional and welcoming work space.
Take on any projects or specific tasks that may be requested from time to time.
Build and maintains positive working relationships with colleagues, internal partners and customers to support an office that promotes the well being of our colleagues
Establish and maintain effective internal and external communication channels to ensure the availability and dissemination (where appropriate) of relevant information.
Be a key support for the Health & Safety committee to establish and re-enforce Fire Safety protocols in the office.
Plan, organize and facilitate customer meetings to provide transparency and effective communication in the areas of issue management, event calendar and year-end planning, change controls, and SLA Reporting.
Take on ad hoc assignments / projects as assigned by S. Director of Office Services
Work with the National Office Maintenance Manager for building maintenance issues as outlined in the lease agreement with Choice Reit Property Management team.
Oversee the day porter and night janitorial service; coordinate with the janitorial company and building management to ensure our facilities are clean, neat, and tidy and kitchens are maintained and stocked to company standards.
Oversee and manage the office supply ordering process with internal colleagues
Event Management: in partnership with employees. Execute company-wide events hosted on within the offices where required.
Oversee kitchen areas. Manage and oversee a process of stocking, taking inventory, and reordering food/ pantry items on a daily basis.
Work with day porter to ensure kitchen areas are stocked and maintained throughout the day, refilling areas that are empty and wiping down counters.
Ensure a safe working environment; assess working spaces and take corrective action to reduce any potential safety risks.
Coordinate with the IT department to maintain AV systems across the building
Point person with the landlord Property Management Company on office requirements and permits.
Maintain budgets and reconciling invoices/ process expenses for office management.
Work to continuously streamline costs and expenses, recommend changes.
Help manage and coordinate changes to the building as required
Post secondary education in building/facilities management or related business fields.
Bachelors or college degree or equivalent experience required
At least 5-7 years of experience in managing office environments and office services,
Project Management experience is preferred
Team player with excellent interpersonal and communication skills.
Understanding/Working Knowledge of all types of construction documentation; i.e. drawings, specifications, contracts, and even property lease agreements.
Ability to plan and work independently.
Detail oriented; strong analytical and organizational skills.
Able to effectively direct the work of others.
Work well under pressure in a challenging environment.
Exceptional problem recognition and problem-solving skills
Proficient in MS Office
Knowledge of business and management principles
Strong project management, planning and organizational skills
Excellent written and verbal communication skills
Ability to influence and drive change
Ability to work independently and manage teams
Hands-on approach to delivering projects, engaging with stakeholders, managing risks and issues. I.e. become the go to person / relationship manager.
