Position Summary
The Key Accounts Portal Administrator plays a critical role in supporting Priority Fire Protection's key customers by managing client portals, coordinating information flow between departments, and ensuring exceptional customer service. This position serves as a central liaison between clients and internal teams, helping to ensure that all customer requirements, work orders, and documentation are handled accurately, efficiently, and on time.
Responsibilities
- Collaborate closely with Estimating, Operations, Service, and other internal departments to provide accurate and timely support for key account customers.
- Process, track, and monitor work orders through various customer portals, ensuring all information is complete and up to date.
- Maintain and manage portal data, including contracts, purchase orders, work orders, customer records, and client-specific requirements.
- Ensure customer satisfaction by providing responsive, professional, and detail-oriented support during all customer interactions.
- Manage document workflows and ensure required documentation is collected, submitted, and maintained in accordance with customer and company requirements.
- Act as a liaison between customers and internal teams to facilitate communication and timely resolution of issues.
- Monitor portal activity and proactively follow up on outstanding requests, approvals, and customer requirements.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
- Contribute to process improvements that enhance efficiency, accuracy, and customer service delivery.
Required Skills & Qualifications
- High School Diploma or equivalent.
- Bilingual in English and French, with excellent verbal and written communication skills.
- Intermediate to advanced proficiency in Microsoft Excel, Word, and Outlook.
- Strong data entry and administrative skills with a high degree of accuracy.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Self-motivated with the ability to work independently and exercise sound judgment.
