Opportunity: HR Recruitment Administrator - Temporary 6 month contract
Schedule: Monday to Friday- 8 Hours/day
Job Location: Fort McMurray - Gregoire Office
Report to: Human Resources Manager
Position Overview
The HR Recruitment Administrator provides administrative support to HR Coordinators in a high-volume recruitment and onboarding environment. The HR Coordinator remains responsible for managing candidates and new hires throughout the recruitment and onboarding process. This position supports the HR team by handling routine administrative, tracking and system-related tasks to help ensure processes are completed efficiently and accurately.
Key Responsibilities:
- Source, pull and organize resumes based on recruitment requirements.
- Conduct initial pre-screening of candidates using established screening criteria.
- Maintain candidate lists, recruitment trackers and applicant information.
- Assist with scheduling interviews and pre-screens as required.
- Update recruitment and onboarding tracking systems.
- Upload certificates, training records and other required information into Workhub and applicable systems.
- Review uploaded information for completeness and flag outstanding items to the HR Coordinator.
- Assist employees in person with site-specific training requirements, including providing additional support where required.
- Assist with routine data entry, reports, spreadsheets and tracking.
- Pull information and documentation as requested by the HR team.
- Assist with other administrative requirements related to recruitment and onboarding.
- Identify opportunities to improve administrative processes and efficiencies.
- Maintain confidentiality of candidate and employee information.
- Perform other duties as assigned.
Qualifications:
- Previous administrative, recruitment or onboarding experience preferred.
- Knowledge of the construction industry, heavy equipment and common construction positions, as well as Fort McMurray-area job sites and locations, is an asset.
- Strong computer skills, including Word, Excel, Teams and SharePoint.
- Experience with Workhub, HRIS or ATS systems is an asset.
- Strong attention to detail with the ability to maintain accurate information and follow established processes.
- Highly organized with the ability to manage multiple priorities and meet deadlines.
- Strong written, verbal and interpersonal communication skills.
- Professional, approachable and comfortable communicating with individuals at all levels of the organization.
- Patient and supportive when assisting employees with training or other administrative requirements.
- Comfortable working in a fast-paced environment and adapting to changing priorities.
- Ability to work independently and as part of a team.
- Strong commitment to confidentiality.
