Overview:
Bluebird Pediatrics is a medical clinic in downtown Guelph dedicated to supporting the physical and emotional health of children and youth from birth to age 17. We are seeking a highly organized and proactive Clinic Manager to provide temporary maternity leave coverage (contract duration 6 months) beginning in late June or early July.
The Clinic Manager plays a key role in ensuring the smooth day-to-day operation of the clinic, supporting physicians and staff, and maintaining a positive experience for patients and families.
Responsibilities
- Oversee daily clinic operations and administrative workflows
- Answer and manage phone calls, emails, and patient inquiries
- Coordinate physician schedules and patient appointments
- Support patient check-in and registration processes
- Maintain and organize electronic medical records
- Scan, upload, and manage clinical documentation
- Liaise with patients, families, healthcare providers, and external organizations as needed
- Troubleshoot operational issues and identify opportunities to improve clinic efficiency
- Perform other duties as assigned
Qualifications
- Prior experience working in a medical office, healthcare setting, or clinic administration role is strongly preferred
- Previous supervisory, management, or clinic coordination experience is strongly preferred
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Ability to work independently, exercise sound judgment, and take initiative
- Excellent verbal and written communication skills
- Comfortable discussing sensitive matters with families while maintaining professionalism, confidentiality, and appropriate boundaries
- Proficiency with electronic medical records (EMRs), Microsoft Office, and general office software. Experience using Accuro EMR is an asset.
- Strong attention to detail and commitment to providing exceptional patient service
Position Details
- Temporary position (6 months) covering the remainder of a maternity leave
- Training will be completed in the week or two prior to the current clinic manager's departure
- 35 hours per week starting July 15, 2026 until January 2027
