The main purpose of this position is to provide confidential senior secretarial and administrative services to the Deputy Minister of Justice and Public Safety and Deputy Attorney General.
The end result is to ensure the Deputy Minister/Deputy Attorney General’s office is managed in an efficient manner in order to contribute to the smooth operations of the Department and to maintain a high level of confidentiality.
Duties will include but are not limited to:
- Assisting and providing administrative support to the Deputy Minister/Deputy Attorney General in business related interactions with all levels of governments, respective agencies and the private sector;
- Acting as primary contact for day to day departmental communication issues and maintaining close contact and a positive working relationship with Departmental Senior Management Team;
- Arrange and confirm appointments for the Deputy Minister/ Deputy Attorney General and provide background material prior to appointment;
- Performing general administrative duties; acting as a receptionist and/or frontline contact for the Department of Justice and Public Safety;
- Taking notes and preparing meeting records;
- Liaise often with other Ministers, Deputies, and the Premier’s Office, Treasury Board, etc;
- Respond to requests from the Public;
- Receive and or screen all calls or visitors at the office to determine the nature of the concern/inquiry, to identify appropriate person, program or service for resolution of the problem or to provide the information requested;
- Compose correspondence as requested for the Deputy Minter/Deputy Attorney General’s signature;
- Make travel arrangements and hotel accommodations for the Deputy Minister/Attorney General and prepare/submits travel claims;
- Coordinates and assumes responsibility for RCMP/Police and Coroner related duties associated with the Office of the Attorney General;
- Request, gather and ensure answers are in the proper format to forwarded to the Clerk of Executive Council for tabling;
- Responsible to order office supplies, maintains an up-to-date and accessible filing system; and maintains security and control of access to files;
- Assisting in any requested special projects; and
- Other related duties as required.
Minimum Qualifications:
- Completion of a recognized secretarial program is required.
- Extensive experience providing administrative support to senior management is required.
- Experience managing and coordinator schedules is required.
- Excellent interpersonal and communication skills.
- Excellent organizational skills and ability to manage multiple priorities and work independently.
- Proficiency in various computer software programs.
- Experience and knowledge of legislative process and working with government policies and programs.
- Must provide an acceptable criminal record check.
Other Qualifications:
- Experience working as a legal admin or paralegal is an asset.
