Job Overview:
Seeking a long-term, full-time Ophthalmology Technician/Administrative Assistant to provide quality technician and administrative support for an ophthalmology practice. You will report directly to two physicians, and work in a team environment with other ophthalmology technicians and one other administrative assistant. The office space where you will be working every day is shared by the aforementioned physicians and staff. You will be an essential member of establishing and growing an ophthalmology practice in Halifax! Please submit a resume alone (no cover letter required). Duties:
The position is a mix of technician and administrative duties.
Technician responsibilities include:
- Patient diagnostic testing, including taking visual acuity, intraocular pressure, refraction, OCT and topography imaging, administering eye drops, liaising between physician and patients, and visual field testing
- Complete ad-hoc technician tasks for patients as requested
Administrative responsibilities include:
- Answer incoming phone calls, emails, faxes and any other correspondence in a timely and professional manner, and relay accurate detailed messages where appropriate
- Schedule, coordinate and confirm appointments for patients via phone and email
- Meet, greet and check-in patients arriving for their appointment
- Help patients to fill out forms to record personal information, insurance details and other medical information
- Sort and distribute incoming and outgoing mail and couriers where applicable
- Initiate and maintain incoming and outgoing paperwork, as well as electronic documents, related to patients’ medical records
- Complete ad-hoc administrative tasks as requested, including follow-ups, referrals and other patient-related matters
- Coordination and various administration related to surgery scheduling
Required Skills:
- Ability to use computers (i.e., basic typing skills, internet search… etc.,), Microsoft Office (i.e., Outlook, Word, Excel… etc.,) and electronic medical record (EMR) software (previous experience working with an EMR is an asset)
- Ability to use office equipment (i.e., fax machine, printer, photocopier, scanner… etc.,)
- Exceptional organizational and customer service skills in reception role, especially maintaining professionalism with patients and/or family members
- Demonstrated attention to detail, time management, strong communication skills (written and oral) and interpersonal skills
- Excellent judgment and discretion in dealing with sensitive and/or confidential healthcare related matters for patients
- Ability to work well independently (self-motivated with low supervision) and in a team
- Commitment to on-the-job learning and contributing to a positive environment with co-workers
- Fluent English (written and oral)
Required Qualifications:
- High school diploma
- Minimum two (2) years of related work experience in an ophthalmology or optometry technician/administrative role
- Clear criminal record and vulnerable sector check
- Candidate must be legally eligible to work in Canada and live locally in the Halifax area
