The Office of the Registrar is committed to helping our current and future students throughout their learning journey. The department is frequently the first point of contact for prospective students, and continues to play an important role in the lives of students throughout their time at SAIT. The Office of the Registrar is made up of several teams actively engaged with learners, including: admissions, contact centre, records and scheduling.
Reporting directly to the Director/Registrar, this position is responsible for managing the strategic and operational objectives of the Office of the Registrar (OTR). The Associate Registrar works cross-functionally with both the Leadership and Management group within the Office of the Registrar and across the organization to ensure the OTR contributes in the institutional mandate of growth, student success and operational efficiency, including effective system and technology integration. The Associate Registrar develops and implements policies, procedures, and processes that align with institutional governance and meet the compliance and regulatory requirements.

Job Description

Plans, coordinates & manages special projects related to the functions of the Curriculum Control, Program Setup & Timetabling and the Learner Records teams
Works cross-functionally with the Office of the Registrar leadership team in managing all aspects of the Office of the Registrar including: program inquiry, learner recruitment, admissions, registration, learner records and student record database management (Student Information System – SIS), timetables, program set up, room bookings, financial aid (loans) and student employment liaison functions
Provides input to the department budget process including managing and forecasting
Supervise teams which are directly responsible for processing revenue in excess of $40M per year
Determine strategic goals for the department and assign work accordingly
Ensures that approved SAIT policies and procedures are adhered to
Manage student disciplinary issues in conjunction with the Deans/Associate Deans
Maintains specified control tables in the Banner Student Information System
Plans, manages and is responsible for the systems, processes and procedures which support or enhance the effective delivery of quality the Office of the Registrar in the areas of the department
Promotes teamwork for the department to heighten mutual understanding and cooperation and instill a student and community orientation
Ensures staff are appropriately trained to maintain the accuracy and integrity of students’ academic records
Works with team leaders to identify performance goals that align with SAIT and the Office of the Registrar Strategic Plan
Assists team leaders with identifying career goals and methods to support their career goals through professional development activities, cross-training, job shadowing, and succession planning
Provides positive and constructive feedback to team leaders to optimize performance
Evaluates performance for all team members based on goals set within the PPR process
Serves as an active member of several SAIT committees, with the responsibility to ensure that the institute’s overall goals, objectives, and interests are served relating to learner interaction
Encourages cross-institute collaboration to meet learner needs
Advocates for the needs of learners, promoting the implementation of solutions to address department concerns and needs
Promotes continuous quality improvement within the department, and throughout the Institute
Builds and maintains positive professional working relationships with officials and peers of other institutions within the province, in addition to industry and employer contacts
This position may require membership in external committees and social function attendance

A related four-year undergraduate degree is required
Customer Service and leadership experience/training is valuable
Two to three years related experience in a Registrar or Customer Service role and/or in a post-secondary institution directly related to learner services
Knowledge of the student Banner SIS software is desirable
Prior work experience in a post-secondary educational institution, with in-depth expertise in one or more of the areas of learner services: financial planning, academic tracking, learner entry, registration, sales, learner recruitment, career advising and learner accounts is required
Equivalent education and experience may also be considered
Shift work, including early mornings and evenings and some work on weekends, may be required
