We are looking for an experienced, detail-oriented, and patient-focused Medical Office Administrator to join our team.
As a member of our Clinical Administrative Team your primary responsibilities will be to:
- Process all new incoming leads and referrals that are received by email, fax and through Salesforce: communicate effectively with patients and answer inquiries appropriately; register new patients in the EMR; upload intake forms and medical documents; process online payments for consultation fees
-Triage patients to the most appropriate physician: schedule in-clinic and virtual consultations with our team of local doctors; coordinate virtual consultations with doctors in North America and Dubai.
-Assist with patient flow at the clinic: provide support at the reception desk as needed to check-in patients, collect payment, answer the phone line, schedule treatments, upload incoming documents to patient files, and other administrative duties as required.
-Assist with bookings for overseas patients: provide detailed treatment plans to patients wishing to be seen in places such as Mexico, Dubai, Japan and the UK; coordinate with staff to schedule treatments at overseas locations
The ideal candidate will:
- Strong written communication skills with knowledge of medical terminology
- Have a minimum of 2 years experience working in a medical clinic; experience with MSK/Sports Medicine and/or Diagnostic Imaging is preferred
- Possess excellent customer service and problem solving skills
- Have extensive experience using EMR software; experience with Accuro, Ocean/Cognisant MD and/or Salesforce is preferred.
- Have a genuine interest in longevity medicine and health optimization
- Be able to work well under pressure and use sound judgement in assessing difficult situations while operating within their scope of practice
- Comprehensive knowledge of health care, organisational/office practices, procedures and standards
- Possess excellent and professional communication skills in English; a second language is considered an asset
- Possess the ability to work effectively in an inter-professional team
- Possess excellent organizational, time management and multitasking skills
- Demonstrate sensitivity to the needs of our diverse patient population
- Demonstrate punctuality and an excellent attendance record
Schedule:
- Monday to Friday full-time with flexibility to work on Saturdays as our clinical team roster grows
Education:
- Medical Office Administration, Health Clerk or equivalent diploma/ certification and relevant experience
