Job Summary:
Coordinate the delivery of all digital content for print and eBook production. Update print and eBook title information as requested by Editorial, Marketing and Sales. Assign ISBNs for print and eBook titles to facilitate production workflow. Liaise with retailers and external vendors/partners to ensure content delivery and to resolve any issues.

Responsibilities

Responsibilities:
Ensure timely delivery of all content. Coordinate flow of digital files through production cycle for print and eBooks (in-house or outsourced) to meet monthly deadlines. This will involve tracking and monitoring production workflows to ensure delivery of all completed assets to printers and online retailers (e.g. Amazon, Apple, B&N, Google, Kobo, etc.). Carry out daily title updates using in-house software applications in time for the scheduled daily metadata/ONIX feeds.

Key Duties:
  • Coordination of Print and eBook products including (30%):
o Tracking file assets from various departments (i.e. Editorial, Marketing, etc.)
o Supplying files to internal departments (i.e. Typesetting, Proofreading, etc.) for production of print-ready files for North American and global HarperCollins offices
o Coordinating with Third Party suppliers to request text and cover files for internal print production
o Performing quality control (QC) check of completed print and ePub files before final upload to printers and distributors
o Sourcing files for ePub production and coordinating outsourced conversions with external vendors

  • Coordination of Print and eBook metadata including (30%):
o HTML coding and uploading book descriptions for metadata purposes
o Placing/removing embargoes on covers as requested for cover reveals and promotional campaigns
o Manually uploading covers and ePubs to distribution partner, retailers and in-house archive
o Troubleshooting and resolving metadata issues on retailer sites and with vendors in ONIX feed
o Reviewing monthly reporting from retailers to address outstanding issues related to title data or file quality

  • Manage ISBN assignment and price changes for print and eBook including (30%):
o Assigning ISBNs as required to facilitate product cost and scheduling
o Maintaining approved documentation of ISBN requests for auditing purposes
o Implementing approved price changes as required and ensuring proper documentation is archived appropriately

  • Oversee internal digital asset management (DAM) system including (10%):
o Version control of all files in Cumulus
o Reviewing daily and weekly reports to ensure automated processes are working
o Troubleshooting any failed file upload, distribution or process issues

Qualifications

Qualifications, Skills and Competencies:
  • Post-secondary degree/diploma
  • Minimum - 1-year experience in Publishing or Publishing Certificate
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook)
  • Exceptional organizational skills and ability to manage multiple priorities
  • Analytical thinking/problem-solving skills
  • Superior verbal and written communication skills
  • Strong attention to detail
  • Collaborative and flexible
  • Mac proficiency
  • Knowledge of book production an asset
  • Knowledge of digital publishing and ePub format an asset
  • Knowledge of metadata and book ONIX an asset
