MINIMUM FORMAL EDUCATION/TRAINING:
- Undergraduate degree in a related discipline is required.
- Knowledge of university regulations, programs and procedures as they relate to the function/program is required.
- Degree with a major in Human Resource Management, Marketing or Business preferred.
- Certificate in Human Resource Management or Career Education/Counselling would be an asset.
EXPERIENCE:
- Two years of directly-related administrative experience is required.
- Minimum 3 years previous experience administering or managing a co-op/WIL or internship program. Program experience in career consulting and coaching required.
- Proven experience in the delivery of individual career planning and career development advice with experience in recruitment required.
- Proficient in developing curriculum for modularized workshops and strong presentation skills required.
- Strong administrative and organizational skills including demonstrated ability to manage projects and event planning is required.
- Knowledge of, and proficiency in, using social media channels for marketing and recruitment purposes is required.
- Ability to conduct research on the internet required.
- Familiarity with international student issues and work permit legislation and demonstrated ability to deal sensitively with cross cultural issues required.
- Demonstrated ability to build and maintain business relationships. Established network within the private and public sector would be preferred.
- Demonstrated technical proficiency with Microsoft Office Suite, PowerPoint, Adobe, and knowledge of web site maintenance. Familiarity with CRM systems (Symplicity/Orbis) is preferred.
SKILLS AND ABILITIES:
- Strong networking, marketing and business development skills; able to professionally represent the co-op program of the ASB to potential and current employers, students, University representatives, high schools etc is required.
- Exceptional communication skills: verbal, written and demonstrated public presentation skills is required.
- Excellent organizational skills. Experience developing program processes and requirements; detail oriented is required.
- Program management skills: proven ability to create, lead, and deliver programs to meet unit’s needs is required.
- Self-confident and proactive; able to cold call employers and present information sessions promoting the co-op option to large audiences at diverse levels: high schools, university students, employers, government is required.
- Self-motivated; works well with little supervision. Exhibits initiative and innovative approach to program and service delivery is required.
- Sound decision making and problem resolution and negotiation skills with a customer service focus is required.
- Excellent administrative skills; able to meet deadlines and deal positively with changing priorities and stressful situations; proven ability to work effectively with technology to enhance efficiencies is required.
- Willing to travel; locally, provincially and occasionally, nationally. Willing to work evenings and weekends is required.
- A satisfactory work record, including satisfactory attendance and punctuality, is required.
- Determines eligibility of applicants to program.
- Reviews application packages, conducts selection interviews, develops and scores admission matrix and makes recommendations on students to be admitted based on established criteria.
- Prepares students for work terms.
- Organizes and facilitates pre-interview events.
- Researches and develops curriculum for Master classes and learning modules.
- Rivews program requirements with students.
- Develops and delivers mandatory learning modules.
- In conjunction with the undergraduate program office, advises current and prospective co-op students regarding requirements for entrance and continuance in the program.
- Collaborates with the Undergraduate Program Office to identify co-op students with upheld academic allegations and take appropriate actions.
- Advises employers about co-op program expectations and processes.
- Remains informed about changing information related to financial aid programs.
- Maintain connection with delivery partners and actively promote funding opportunities to employers.
- Works closely with academic Faculty Advisor.
- Advises and supports employers regarding completion of end of work term evaluations.
- Provides conflict resolution skills to mitigate issues between students, employers and Faculty.
- Ensure all co-op students have appropriate work permits.
- Create programming with a focus on ensuring EDI and indigenous perspectives.
- Advise graduating students on career search strategies.
- Proactively initiates communication strategy to establish relationships with current and prospective employers and organizations.
- Develops comprehensive marketing and business development strategy to market co-op program internally and externally.
- Actively seeks employer sponsorship of events and engages employer representatives to participate in events.
- Creates written promotional and marketing materials.
- Manages and develops social media marketing plan.
- Record co-op workshops and sessions.
- Promotes communications between co-op employers, students, and the Faculty.
- Serve as the School's co-op representative and liaison at events, conferences, business sites, University departments and co-op programs,associations, boards, and committees.
- Provides information about co-op education/stats.
- Administers and creates content for employer and student sections of co-op web site promoting program.
- Presents co-op program information sessions.
- Actively engages co-op alumni to increase awareness and opportunities for students.
- Manages and coordinates special events.
- Promotes program and solicits employers by cold calling, utilizing social media channels, distributing promotional materials, conducting surveys, attending site visits and business development events, and networking through relevant associations.
- Determines suitability of work term positions.
- Assists employers with preparation and posting of job descriptions for work term positions.
- Approves all co-op placements.
- Reviews and advises students on applications for work term placements with employers.
- Coordinates student interviews with employers.
- Conducts co-op site visits for all placements.
- Develops and updates program materials.
- Create content for and monitor website.
- Develops and incorporates new program initiatives, continually looking to improve and build on program successes.
- Create and monitor a not-for-credit co-op course on UMLearn.
- Creates, develops and facilitates Master classes and learning modules.
- Initiates changes to program policies and processes; recommends and establishes policies and procedures and guidelines.
- Communicates with Undergraduate Program Office.
- Develop tracking mechanisms and reports detailing student placement and graduate statistics for use by Dean and Faculty.
- May be required to preform related duties not exceeding skills and capabilities as required.
