Receptionist (Contract until Jan 31st 2020)

Reporting to the Chief Estimator, the Receptionist is the first point of contact at the Aecon Industrial West Edmonton (Ellwood) Office and will provide administrative support for the office. This position requires the ability to work independently, exercising judgment and initiative while projecting a tactful, diplomatic and professional approach at all times. To be successful in this position, the candidate must be results oriented and have the demonstrated ability to effectively prioritize workflow. Key Responsibilities • Answer phones and attend to visitors at the front desk
  • Direct phone calls and visitors to the appropriate personnel
  • Check phones messages regularly as calls can be missed during the day
  • Keep the front entrance and reception area neat, tidy and presentable at all times
  • Provide assistance to, project and admin areas as requested
  • Coordinate office administration matters (e.g. janitorial services, social events, etc.)
  • Monitor the supplies inventory, and replenish when required
  • Office coordination activities such as booking rooms, ordering catering etc.
  • Provide administrative support to Vice Presidents and other Executives
  • Co-ordinate schedules, appointments, reservations and travel arrangements.
  • Organize meetings involving multiple Senior Executives.
  • Prepare reports for business meetings
  • Organize hotel accommodations and transportation for out of town visitors
  • Plan, organize and follow-up on details relative to offsite company functions including invitations, selection of menus, seating arrangements
  • Communicate sensitive information to senior management/external sources
  • Other related general administrative duties as required
Required Knowledge & Skills • Technical college or equivalent combination of education and experience
  • 3-5 years experience administrative experience
  • Advanced skills in Outlook with intermediate abilities in Word, Excel, and Power Point
  • Demonstrated ability to effectively work in a dynamic environment
  • Detail Oriented
  • Proven ability to effectively prioritize work flow
  • Excellent interpersonal, written and oral communication skills
  • Ability to exercise good judgment, show initiative and be proactive
  • Ability to confidentially handle sensitive information
