Position Summary
The Reservations Coordinator ensures accurate reservation management, effective room inventory control, and seamless guest experiences. This role supports individual and group bookings, VIP and World of Hyatt Elite guests, and works closely with Front Office, Sales, Revenue, and Housekeeping to maintain service excellence and operational efficiency.
Key Responsibilities
Reservations: Process bookings across all channels with accuracy; maintain guest profiles, rates, and special requests; manage payments, cancellations, and daily arrivals in Opera PMS.
Groups & Inventory: Coordinate group blocks, track pick-up and rooming lists, manage inventory and attrition, and communicate updates to internal teams.
VIP & Elite Guests: Identify and prioritize VIPs and World of Hyatt members; ensure upgrades, preferences, and amenities are delivered.
Revenue Support: Follow pricing and inventory strategies, monitor availability and booking pace, and flag discrepancies.
Guest Service: Respond to inquiries promptly, manage changes professionally, and support pre-arrival planning for key guests.
Collaboration & Admin: Partner with cross-functional teams, attend operational meetings, and maintain accurate reports and reservation data.
Key Skills & Competencies
Strong attention to detail and organizational discipline across simultaneous bookings and tasks.
Excellent verbal and written communication skills; warm, clear, and professional in every exchange.
Proficiency in Opera PMS; familiarity with Hyatt systems (HotSOS, World of Hyatt, GDS, OTA platforms) is a strong asset.
Working knowledge of hotel revenue management principles, inventory controls, and rate structures.
Ability to multitask effectively in a fast-paced environment without sacrificing accuracy.
Sound judgment in escalating issues; problem-solving instinct over task-completion mindset.
Qualifications
Previous hotel reservations or front office experience required.
Familiarity with Hyatt systems and brand standards is a significant advantage.
High school diploma required; hospitality degree or equivalent preferred.
