A professional office is looking for a qualified and experienced office administrator to join our team.
Responsibilities include:
- Managing the reception desk and all associated functions, including but not limited to checking messages and returning phone calls, forwarding incoming phone calls, sorting and distributing incoming mail, and greeting and signing in guests.
- Composing, preparing and editing correspondence, memos, letters, reports, and presentations on an independent basis.
- Managing schedules, various calendars, and organizing virtual and in-person meetings.
- Arranging for courier services, and completing photocopying, faxing, filing and typing of routine correspondence.
- Setting up and maintaining electronic and paper files.
- Creating and maintaining contact lists/databases/v-cards.
- Handling confidential and personal matters.
- Planning and arranging meetings and special events.
- Managing numerous commitments with a keen attention to detail, accuracy and ability to prioritize.
- Maintaining company contact database for access by all staff.
- Demonstrating sound judgment and decision-making skills.
- Placing and tracking orders for office supplies.
- Managing janitorial staff.
- Reviewing and negotiating office equipment contracts (photocopier, postage machines, etc.).
- Daily emptying of dishwashers, restocking of kitchen supplies (coffee pods, paper towels, etc.), and washroom supplies (toilet paper, soap, paper towels, etc.).
Qualifications: Minimum of 5 years related experience in a similar role, strong computer skills including advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), strong organizational skills and excellent verbal and written communication skills, ability to work independently and as part of a team, able to handle multiple, sometimes conflicting priorities, and possesses a positive and outgoing attitude.

Pay: $55,000.00-$67,500.00 per year
