Responsibilities:
- Greet and assist onsite guests
- Answer & redirect inbound telephone calls
- Plan and schedule boardroom events & meetings
- Answering incoming calls in a courteous and professional manner
- Draft correspondence and other formal documents
- Maintain organized filing systems
- Photocopying, filing, faxing, scanning
- Prepare information for couriers
- Sort & distribute incoming mail, prepare outgoing mail
- Receive & respond to emails
- Data entry for all departments
- Track insurance renewals
- Prepare files for new tenants
- Manage & maintain key box & lock box systems
- Maintain cleanliness of kitchen, coffee station, reception area & boardrooms
- Monitor & arrange maintenance on all business machines ie. copiers, fax machine etc.
- Monitor & order business supplies & kitchen supplies.
- Perform all other office tasks as required to assist other team members
Qualifications:
- Knowledge of Outlook, Word and Excel
- Excellent English communication skills – written & verbal
- Organized & able to prioritize
- Positive attitude
- Reliable and punctual
