Job Summary
The Operations Coordinator will play an integral role in the successful planning, coordination, and execution of festival operations. This position involves working closely with the Director of Operations, artists, venues, and other stakeholders to ensure that all logistical aspects of the festival run smoothly. The ideal candidate has excellent organizational skills, a keen eye for detail, and the ability to work effectively in fast-paced environments.
Key Responsibilities
- Festival Operations: Assist in the annual planning of the festival and day-to-day operations including sponsorship sales, funding applications, and more
- Marketing & Promotion: Assisting with social media and marketing strategy and content creation, ensuring website is kept up to date, and managing newsletter delivery
- Artist Relations: Coordinate with artists and their teams to ensure they have the necessary resources, schedules, and accommodations for their performances
- Ticketing Operations: Handling all aspects of ticketing including event creation, sales monitoring, and post-event reporting
- Venue Relations: Liaising with venues ahead of and duringshows to ensure smooth execution of events
- Partner & Sponsor Relations: Ensuring sponsor deliverables are met, tracking progress, and assisting with post-event sponsor reports
- Health & Safety Compliance: Ensuring that all festival sites comply with local health and safety regulations - implementing crowd control measures, security plans, and first aid protocols
- Scheduling & Communication: Maintaining clear and timely communication with all festival staff, volunteers, and partners
- Financial Tracking: Support budget management by tracking expenses related to operations, including vendor payments, rental fees, and other costs
- Post-Event Reporting: Assist with the wrap-up of festival operations, including inventory management, feedback collection, and final reports on logistics and operations.
Qualifications & Skills
- Experience: 2+ years of experience in event coordination or festival operations, or a related field
- Education: Post-secondary degree in event management, hospitality, or a related field is preferred
- Organization: Strong ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment
- Communication: Excellent verbal and written communication skills, with the ability to work effectively with a diverse group of stakeholders
- Problem-Solving: Ability to think quickly and resolve issues as they arise, maintaining a calm and solutions-oriented mindset
- Technical Skills: Proficiency with Microsoft Office (Excel, Word, PowerPoint), Google Workspace, Canva, and other tools
- Flexibility: Availability to work long hours including weekends, evenings, and holidays as required by the festival schedule
- Physical Ability: Ability to perform physically demanding tasks such as setting up equipment, standing for long periods, and lifting up to 50 lbs
Preferred Qualifications:
- Familiarity with Toronto's music scene including venues, trends, and festivals
- Experience working with artists, venues, or event production
- Knowledge of health & safety protocols for large events

Pay: $50,000.00-$55,000.00 per year
