Your Opportunity:
The incumbent is responsible for the delivery of central reception and switchboard services for the Children, Youth and Families, Addiction and Mental Health Clinic at Spruce Grove Mental Health. This position will be in contact with children, youth and families who are dealing with a severe and/or persistent addiction and/or mental illness. The services of the Spruce Grove Mental Health Clinic are provided by an interdisciplinary team consisting of Psychiatrists and Mental Health Therapists as well as clinical program support staff. Reporting to and under direct supervision of the Care Manager, the incumbent assesses work priorities and adjusts tasks accordingly to ensure the efficient completion of all duties. Primary responsibilities include receiving clients and visitors to the clinic, updating patient demographic data, answering and responding to intake calls including booking appointments and directing inquiries for service. Additional administrative duties include data entry, compiling statistical information, typing correspondence, transcription of letters and mental health assessments for therapists and consulting psychiatrists, filing, photocopying, payroll entry, and ordering of equipment and supplies. The Admin III is the initial point of contact for patients and families and must have excellent customer service skills and compassion for families with mental health and addiction concerns. Please note that the current schedule is Monday to Friday days and this could change in the future depending on the needs of the clinic.

Required Qualifications:
Completion of Grade 12 or equivalent.

Additional Required Qualifications:
High School diploma and/or formal education from a recognized post-secondary institution required. Successful completion of a Medical Secretarial Certificate including medical terminology course required. Minimum of 2-3 years direct experience in an administrative support role in a mental health setting required. Must have intermediate computer technology skills including Microsoft Word, Outlook, and Excel. Transcription experience and knowledge of transcription software such as EditScript is required. The ability to work independently, prioritize workload and communicate in a cooperative, respectful manner in a team atmosphere is essential.

Preferred Qualifications:
A minimum typing speed of 50 wpm and a minimum data entry speed of 80 keystrokes per minute. Knowledge of computer technology and applications including website administration, office or business applications and databases (VAX, Access, Oracle, ePeople, ARHMIS, eClinician, or other). Excellent communication, organizational, interpersonal and public relations skills.
