The successful candidate will be working Monday to Friday at our Fort McMurray office in Rickards Landing (181 Robertson Road). You MUST BE local to Fort McMurray and have your own form of transportation to and from work (public transit is not available).

Responsibilities:
Recruitment and Onboarding:
- Creating and posting job openings, applicant screening, scheduling interviews and communicating with candidates.
- Conduct market research and analyze current labour market trends and competitor practices, providing monthly reports to support HR strategy and workforce planning.
- Identify and track local career fairs and recruitment events, coordinating HR team registration, planning, and participation to support recruitment initiatives.
- Coordinate and process all pre-employment requirements, including, but not limited to, scheduling alcohol and drug testing, obtaining clearance letters, and collecting and verifying driver documentation and trade certifications.
- Liaise with insurance provider, code and process A&D invoices, and complete new hire documentation in a timely, accurate, and confidential manner.
- Facilitate a smooth onboarding experience by acting as a key point of contact and promptly answering candidate inquiries.
- Coordinate and deliver new hire and contractor onboarding including WHIMIS training, mask fit testing, PPE, and employment paperwork.
- Maintain thorough knowledge of company Human Resources and Safety policies, procedures, and standards to deliver new hire and contractor orientations.
Employee Records Management:
- Maintain accurate and organized records within the Applicant Tracking System and Human Resource Information System, ensuring accuracy and confidentiality.
- Maintain insurance and random alcohol and drug trackers and send off to respective third party administrators monthly.
- Coordinate and oversee the tracking, scheduling, and completion of mandatory leadership training for employees in leadership positions.
- Facilitate offboarding process by scheduling exit interviews between departing employee and HR Specialist as well as completing final administrative tasks for departing employees.
- Coordinate and maintain tracking of company provided lodging, including conducting in-person biweekly inspections to ensure each unit meets ICD standards for cleanliness, maintenance, and overall condition.
- Serve as primary point of contact for lodging related concerns, emergency issues, and repair requests, coordinating timely resolutions with appropriate building managers/landlords.
- Monitoring reports for employee milestones such as upcoming probation dates, anniversaries, and apprenticeship progression, notifying and corresponding with all appropriate parties (Manager and Senior HR).
Other Tasks:
- Create and distribute Microsoft feedback forms and surveys (WOW’s monthly submissions, company events, etc.)
- Monitor, design and update company HRIS News bulletin and quarterly newsletter.
- Other recruitment and HR tasks as required.
Required Qualifications:
- Minimum of 3 years proven experience with office administration in human resources, or equivalent
- Strong experience with Microsoft Office, particularly Excel, Word, and SharePoint
- Must have own form of transportation to and from work (public transit not available to office location)
- Must be legally eligible to work in Canada.
Desired Qualifications:
- Additional recruitment or safety training
- Familiarity with HRIS and/or ATS is an asset

Successful candidates must provide the following items prior to confirmation of their start date:
- Copy of valid Class 5 (or greater) driver’s license
- Copy of current 3-year clean driver’s abstract
- Copies of education and training certificates (if applicable)

This includes, but is not limited to, following Safe Work practices and procedures, attending safety meetings and toolbox talks, understanding and navigating our digital safety application (SiteDocs), completing FLRA’s, using PPE, inspection of vehicles, tools, and equipment, and more.
