Summer 2020 Internship Opportunity – Project Administrator – Major Capital Projects

BGIS is looking for committed, curious self-starters who are currently in university or college and who are interested in the world of real estate and facilities management. Facilities management is BGIS’ bread and butter and focuses on how we can maintain buildings through their lifecycle, engage with their tenants and create memorable customer experiences, and make the experience of working in each building as functional and problem-free as possible.
As part of the Major Capital Projects team, you will be engaged and ready to assist in delivering projects over $1M at Carling Campus.
Part of the Major Capital Projects department’s role is to facilitate project management services on behalf of Public Services and Procurement Canada. In this role the successful candidate will assist the Project Management team with basic project management and administrative tasks including but not limited to maintaining project documents as well as assisting with project set up, financial and administration closeout requirements.
The Project Administrator Intern will report to the Senior Project Manager and will work with the project management team to deliver projects within the Ottawa area. This role is an exciting opportunity for students wishing to enter the construction project management industry.
KEY DUTIES & RESPONSIBILITIES
Project Set Up
Inputs project information into databases and completes project set up process
Project Tracking and Documentation
Maintains project documents such as project plans, meeting minutes, contracts, bid packages, technical and financial close outs, etc.
Monitors project progress and timelines and prepares status reports to assist with timely project delivery.
Field inspections and monitoring contractor progress
Field meetings and assisting with time management
Prepares various reports to support monitoring of project progress, costs, key performance indicators, etc.
Project Close Out Administration
Executes project close out requirements.
Gathers and ensures receipt and sign-off of all project documents. Files project documents.
Ensures receipt of all invoices. Follows up with vendors where required.
Assists in reviewing and reconciling actual project expenses against cost estimates.
Other duties as assigned.
KNOWLEDGE & SKILLS
Enrollment in or recent graduate of a university or college degree or diploma program in Business (General Administration, Accounting, Economics, Finance, Management, Real Estate Management), Architecture and Construction, Engineering or equivalent related discipline
Strong administrative and organizational skills
Ability to provide project administration support
Ability to maintain accurate data
Strong attention to detail and data accuracy
Ability to extract and compile data into reports
Ability to communicate effectively with others for the purpose of data exchange, clarification and follow up
Computer proficiency in MS Office applications in particular – MS Project, MS Excel, MS Outlook, along with ability to quickly learn new applications
Strong customer focus and a total commitment to customer satisfaction
Fluent in English
Bilingualism in French would be an asset, but not a requirement
Ability to secure Federal Government Security Clearance prior to employment engagement
