We are looking for a thoughtful, dynamic, and highly organized Executive Assistant to support an SVP and 6 VPs of Investment Finance& Operations at our Downtown Toronto headquarters. You will be responsible for:
- Providing full-spectrum executive administrative support, including calendar, inbox, task and contact management, travel planning, expense reimbursements, and document and presentation preparation.
- Managing complex calendars, shifting priorities, meeting logistics, time zones, and last-minute changes with professionalism, urgency, and care.
- Coordinating meetings, team events, offsites, large meetings and Town Halls, including scheduling, agenda preparation, catering, and related logistics.
- Supporting invoice processing, coding, expense accruals, and other administrative processes that help the team operate effectively.
- Preparing professional reports, presentations, and communications, including materials related to sensitive or high-impact topics.
- Acting as a thoughtful liaison and representative for the team by building respectful relationships with internal and external stakeholders.
- Identifying opportunities to improve team efficiency, effectiveness, and ways of working.
- Contributing to a positive, inclusive, and supportive team culture.
Required Skills& Experience
- Executive support experience: Experience supporting executives in a large, complex organization, ideally within finance, capital markets, or a similarly fast-paced environment.
- Advanced organizational and prioritization skills: Ability to manage complex calendars, competing demands, shifting priorities, and time-sensitive requests with strong follow-through.
- Strong communication skills: Clear and professional written and verbal communication, with attention to tone, detail, audience, and discretion when handling sensitive topics.
- Technical proficiency: Strong proficiency with Microsoft Outlook, PowerPoint, Word, SharePoint, OneNote, To Do, and Copilot to support executive workflows, documents, presentations, and team coordination.
Preferred Skills& Experience
- Experience supporting executives in a global or highly matrixed organization.
- Post-secondary education.
- Experience coordinating team events, offsites, Town Halls, or large meetings.
- Experience with invoice processing, coding, expense accruals, travel planning, and expense reimbursements.
- Ability to build respectful relationships with internal and external stakeholders.
- Proactive and curious approach, with the ability to anticipate needs, understand context, and identify opportunities to add value.
- Adaptability and composure when working through ambiguity, shifting priorities, or last-minute changes.
- Professionalism, discretion, and sound judgment when handling confidential information.

The expected salary range for this position is $72,000.00 - $108,000.00 per year.
