General Summary:
This position coordinates the flow of documentation from the office to the agents, lawyers/notaries and other real estate companies involved in the contract. It requires maximum attention to detail and high organizational skills. This person must give high attention to the details of the contract and the flow of information.

Major Duties & Responsibilities:
Searches Listing File for contract Documentation
Reviews Transaction Desk docs
Solely responsible for the accuracy of processing the deal files from the time the deal is entered to closing
Enters data into Broker Wolf
Confirms that all required documentation are in Transaction Desk
Follows up with agents if missing items
Corrects the TRS
Follow Transaction Desk procedure as outlined by the Team Lead
Enters information into Broker Wolf
Enters deposit check in Broker Wolf and verifies the deposit
Ensures that cheque has been deposited into the trust account on time & correctly
Transaction reporting
Confirms commissions with other brokerage
Send conveyance docs to notary or lawyer as necessary
Print Weekly/Monthly List of Contracts Closing and Follow up on Outstanding
Report outstanding issues to Agents and Provincial Administrator Broker
Tracks all closings and follows up on cheques that have not arrived.
Verify MLS data
Ensures final sign off by Provincial Administrator Broker
Complete weekly flash reports as they pertain to # of sales and listings on a weekly basis
Conducts Conveyance Operations Orientation: Teaching how to use Transaction Desk
Notify Agent Services of First Sales and 100% Sales
Determine monthly award winners by production
Determine numbers for Monthly Awards and give to Agent Services
Assist with the monthly newsletter

High School Diploma/GED required

1+ years of experience in real estate transactions processing required
Computer experience essential
Legal Real Estate conveyancing experience strongly preferred
Basic knowledge of the Canadian Real Estate Transaction requirements & provincial processes
Knowledge of Excel, Transaction Desk, Publisher, PowerPoint, Lone Wolf an asset
Must be responsible, dependable and trustworthy
Task-oriented, organized, pays attention to details, follows systems, team-worker
Ability to build relationships with agents, lawyers, notaries, Managing Broker
Works well under time restraints
