Candidates for this position should be able to meet these key accountabilities:
PassportONE and Fee-Based Services Administration (Core)
- Enter and track PassportONE-related transactions in accordance with organizational procedures and Ministry of Children, Community and Social Services (MCCSS) guidelines
- Maintain accurate and complete documentation to support PassportONE expenditures and reporting requirements
- Support invoicing and data entry for fee-based and other revenue-generating services
- Maintain client account records and assist with reconciliations as directed
Administrative Support for Individual Finances (Core)
- Collaborate closely with Services and Supports leadership to implement and administer processes that support individuals’ finances in accordance with organizational policies and Ontario’s Quality Assurance Measures (QAM)
- Support employee orientation and training related to financial processes and reporting requirements
- Provide administrative support for supported individuals’ banking and personal financial activities, ensuring compliance with consent requirements, policies, and applicable legislation
- Maintain accurate, organized, and up-to-date records of individual financial transactions
Provide additional support as needed in the areas of:
- Accounts Payable and Receivable
- Financial Data Entry and Record Maintenance
- Payroll and Benefits Administration
General Administrative Responsibilities
- Always maintain strict confidentiality of financial and personal information
- Perform banking duties for the organization, including deposits as required
- Respond to and manage correspondence related to customer and vendor inquiries
- Support employee orientation related to financial systems and processes
- Follow established internal controls and financial procedures
- Perform other related clerical and administrative duties as assigned
Skills & Qualifications
- Diploma or certificate in accounting, bookkeeping, business administration, or a related field (required)
- 1–2 years of experience in an accounting or administrative role, preferably in a non-profit or community-based setting
- Experience with accounting software (e.g., QuickBooks, Sage Intacct, or similar) and online banking systems
- Proficiency in Microsoft 365 and the Microsoft Office Suite
- Strong attention to detail and high level of accuracy
- Effective organizational and time management skills
- Ability to follow procedures and work within established guidelines
- Strong communication and interpersonal skills
- Demonstrated reliability, discretion, and respect for confidentiality
- Willingness to learn and adapt in a collaborative environment
- The ability to provide a clear Vulnerable Sector Check.
