Who are YOU:
As the People Coordinator, you will play a crucial role in supporting the teams with your primary focus on executing our recruitment and onboarding processes, serving as the first point of contact for candidates as well as our new hires. This role is perfect for you because you're highly organized, personable, meticulous with details and passionate about creating a positive employee and new hire experience. You’ll work closely with the People team and hiring managers to keep our hiring pipeline running smoothly and our onboarding process engaging and efficient.
What you need to Succeed:
- 1-2 years of proven experience in HR or recruitment support ideally within a tech, media, or fast-paced industry.
- Secondary education in HR, Business Administration, or a related field is preferred, but relevant experience may be considered.
- Familiarity with HR Information Systems (HRIS - such as Workday, BreezyHR, Rippling, etc)
- Experience with ATS platforms is essential for managing job postings, tracking candidates, and updating records efficiently.
- Strong proficiency in MS Office (Word, Excel, PowerPoint) or Google Workspace, with the ability to learn new software and tools quickly.
- Ability to clearly and professionally communicate with candidates, hiring managers, and team members across all levels.
- Comfortable interacting with candidates and employees and has a genuine desire to assist and create a positive experience for candidates, new hires, and employees.
- Exceptional organizational skills with an emphasis on accuracy in managing multiple schedules, documents, and tasks.
- Proven track record of maintaining confidentiality and handling sensitive information with the highest level of discretion.
- Capable of managing and executing on multiple people tasks and activities simultaneously without compromising quality or timelines.
- Adjusting to shifting priorities and handling last-minute changes in a dynamic and evolving industry.
Bonus!
- Basic understanding of relevant Canadian employment laws and labor standards
- Familiarity with payroll processes or benefits administration
Key duties will include:
Recruitment Support
- Manage job postings and candidate applications across various platforms and onto external monster job boards.
- Conduct initial resume screenings and phone interviews to assess candidate fit.
- Schedule interviews, coordinating between candidates and hiring managers to ensure a smooth process.
- Maintain accurate and up-to-date candidate information in the Applicant Tracking System (ATS).
- Acting as the main point of contact with candidates and communicating throughout the entire recruitment process.
- Working with external recruiters with targeted searches and managing candidates presented through this pipeline
Onboarding Coordination
- Prepare and process new hire paperwork, ensuring timely completion and accuracy.
- Organize and lead new hire orientation sessions to introduce new hires to our culture, policies, and team.
- Coordinate with IT and Facilities to set up equipment, access, and workspaces for new employees.
- Act as the primary contact for new hires during their onboarding period, addressing questions and gathering feedback.
Candidate & Employee Experience
- Foster a welcoming environment for candidates and new hires, ensuring a positive experience.
- Organize welcome events, team-building activities, and other engagement initiatives.
HR Administrative Support
- Maintain accurate employee records and ensure confidentiality and compliance.
- Assist with various HR projects and respond to general employee inquiries as needed
Team Support
- Serve as a resource for employees, addressing general people-related questions and requests.
- Provide support on various HR-related issues, directing employees to the appropriate resources when needed.
- Assist the People team with ongoing projects to enhance employee satisfaction.
