Let’s be clear: this is not a static or behind-the-scenes role. This is a high-visibility, mission-critical position that directly fuels and shapes our operational heartbeat. You will have a front-row seat to how a successful, fast-paced branded merchandise agency runs from the inside out—with the autonomy and license to optimize, elevate, and make things better in everything you do.
What You'll Do
- Own Data, Document, & Spreadsheet Management: Maintain, build, and organize critical company spreadsheets, trackers, and databases with flawless accuracy. We need a champion of excellence across all word processing and document platforms—from complex spreadsheet management to creating sleek presentations and managing tidy document storage.
- Drive Event & Experience Planning: Take the lead on organizing internal and external company events, team-building initiatives, and client experiences that reflect our fun, high-energy B Corp culture. You'll collaborate closely with our Marketing team to bring these experiences to life with maximum impact.
- Champion Monday.com: Act as our internal guide and go-to resource for Monday.com. You’ll help influence how our administrative team uses the tool, design intuitive boards to streamline our processes, and teach the rest of us how to maximize its features so our task and operational coordination are always seamless.
- Support Executive Leadership Team: No dry-cleaning runs here! But when our leadership team needs a hand executing a major project, researching an initiative, or solving a problem, you’ll be right there to dive in and support them.
- Coordinate Corporate Logistics & Travel: Architect complex travel itineraries and logistics for our leadership and sales teams. You’ll ensure flights, acclamations, and schedules are perfectly aligned, stress-free, and executed in a budget-savvy way that maximizes our resources.
- People & HR Support: Act as a key liaison for human resources, assisting with onboarding coordination for new "superstars," maintaining employee files, and supporting internal culture initiatives.
- Deliver Internal Stakeholder Excellence: Provide a high level of daily collaboration, responsiveness, and administrative support across all departments (Sales, Operations, and Leadership) to ensure seamless day-to-day business flow.
- Maintain Flawless Office Operations: Oversee the physical workspace needs, manage vendor relationships for office infrastructure, and ensure the team has the tools they need to achieve greatness.

- Tech-Savvy & Tech-Curious: You are the person friends and coworkers turn to when they need help figuring out a digital tool. You don't just use Google Workspace and office platforms; you excel at them. You love learning new software and have the patience and clarity to teach others how to master them too.
- Ruthless Organization: You have an innate ability to prioritize competing tasks, manage your own bandwidth, and proactively communicate challenges or timelines before they become roadblocks.

- Attention to Detail: Meticulous in your work, whether you are cross-referencing a complex travel itinerary, auditing an Sales spreadsheet, or double-checking an expense report. You're the person who instantly spots a typo or an invreted number.
- Strategic Communication: Can communicate clearly and proactively with internal teams and external partners. You have a knack for cutting through the noise to make sure everyone is perfectly aligned and on the exact same page.
- Problem-Solving: When a flight gets canceled, a calendar conflicts, or a sudden curveball changes the day's entire game plan, you don’t break a sweat. You’re already three steps ahead with Plan B, C, and D.
- Relationship Management: Skilled at building and nurturing strong relationships across all levels of the organization. You’re the ultimate collaborator—the kind of teammate who elevates the energy of the whole group just by jumping in to help.
- Discretion & Integrity: Comfortable handling sensitive HR and organizational data with the utmost confidentiality, professionalism, and care.
