About this Role
Reporting to the Health and Safety Manager, the Health and Safety Administrator provides administrative, documentation, and coordination support for the Health and Safety program. This role supports accurate recordkeeping, document control, training coordination, safety meetings, corrective action tracking, WSIB and return-to-work documentation, and overall program organization across office and construction site environments.
Documentation, Filing & Record Management
- Maintain, organize, and update physical and digital H&S files
- Maintain records of hazard assessments, safety talks, equipment inspections, training certificates, incident reports, and site-specific forms.
- Track deliverables, expiries, and required follow-ups in the H&S software system.
- Assist in preparing monthly compliance summaries or checklists for the H&S Manager.
Health & Safety Board Inspections
- Visit construction sites to inspect Health & Safety boards ensuring postings are current (OHSA posters, JHSC information, emergency contacts, WSIB forms, policies, etc.).
- Document deficiencies, update expired items, and follow up with site teams to ensure compliance.
- Maintain a database/log of board inspections with dates, statuses, and next required updates.
Training & Certification Tracking
- Maintain training records and ensure all required certifications remain up to date.
- Assist with coordinating training sessions, booking courses, updating records upon completion.
- Support JHSC recordkeeping, including organizing meeting minutes and distributing documentation.
H&S Software & Administrative Support
- Assist with data entry and navigation of health and safety software used for inspections, incident reporting, training, and audits.
- Help test or implement new software features, ensuring data integrity.
- Monitor shared inboxes, triage basic inquiries, and flag items needing follow-up.
- Support the development of templates, checklists, and standardized forms.
General Administrative Duties
- Assist with PPE inventory tracking and ordering under direction of the Manager.
- Assist with preparation of safety communications, posters, and bulletin updates.
- Support various ad hoc safety initiatives and projects as required.
- Support construction department with general administrative tasks as needed.
Required Qualifications
- Diploma/degree in Health & Safety or related field
- Previous Health and Safety experience considered an asset.
- Completion of, or pursuit of, the NCSA designation would be considered an asset.
- Strong attention to detail, accuracy, and organization.
- Ability to manage multiple tasks and meet deadlines.
- Comfortable working in both office and construction site environments.
- Strong communication skills and ability to maintain confidentiality.
- Proficiency with MS Office (Word, Excel, Outlook); experience with H&S software an asset.
Physical/Sensory Effort and Work Environment
- Providing service to several people or departments, working under simultaneous deadlines.
- Sitting or standing for long periods of time at workstation.
- Busy office environment.
- Some travel to company worksites
- Some administration work on residential construction.
- Manual dexterity is required.
