Role Description
Kormans LLP is seeking a full-time Administrative Clerk to join our growing team in Mississauga, Ontario.
The successful candidate will provide administrative support to our Real Estate department, ensuring files are processed efficiently and accurately from opening through closing. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced legal environment.
The Administrative Clerk will work closely with lawyers, law clerks, legal assistants, lenders, clients, and third parties to support various aspects of file administration and transaction processing.
Key Responsibilities
- Open new client and transaction files in accordance with firm procedures.
· Process file openings and ensure all required information is accurately entered into firm systems.
· Order title searches, corporate searches, status certificates, and other required reports for assigned files.
· Conduct and coordinate necessary searches to support real estate transactions.
· Complete banking tasks for assigned files in accordance with POD workflows and firm procedures.
· Scan and forward deposit cheques and certified cheques to the responsible Law Clerk before courier dispatch.
· Arrange courier services, registered mail, and other document delivery requirements.
· Communicate with clients regarding missing information and outstanding documentation.
· Gather, review, and update client intake information across all firm systems while keeping the responsible Law Clerk informed of developments.
· Verify trust account information with opposing law firms, financial institutions, and other relevant parties.
· Send client identity verification requests through Syngrafii and monitor completion.
· Ensure client and file information within all firm systems remains accurate, complete, and up to date.
· Provide support with Form 9A processing and related documentation, as required.
· Assemble transaction packages, closing packages, and supporting documentation.
· Maintain organized electronic and physical file records.
· Provide reception and administrative backup support as required.
· Assist lawyers, law clerks, and legal assistants with general administrative and file management tasks.
Qualifications
The ideal candidate will possess:
- Previous administrative experience, preferably in a legal, financial, or professional services environment.
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and deadlines.
- Strong proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
- Ability to work both independently and collaboratively within a team environment.
- Professional, client-focused attitude and strong problem-solving skills.
Preferred Assets (Not Required)
Experience with any of the following would be considered an asset:
- Real estate law or conveyancing processes
- Unity
- Cosmolex
- Trust accounting procedures
- Knowledge of Law Society of Ontario requirements
