About The Village Vet+ Annex

Owned and operated by Dr. Michael Astin, The Village Vet+ Annex is opening a brand new, state-of-the-art animal hospital at 585 Bloor Street West in Toronto. We are looking for a Veterinary Receptionist / Client Service Representative (CSR) who will help make every client and patient interaction feel calm, clear, and cared for.
About the role
You will be the first and last point of contact for many clients, owning the front-office experience while helping the veterinary team keep the day organized. This role combines hospitality, communication, scheduling, records accuracy, and thoughtful follow-through in a busy clinical environment.
What you’ll do
- Welcome clients and patients warmly, manage check-in and check-out, and maintain a calm, organized reception area
- Answer phones and messages, triage routine and urgent requests appropriately, and coordinate clear communication with the veterinary team
- Schedule appointments, manage the calendar, support surgical intakes and pre-operative reminders, and coordinate rechecks and follow-ups
- Maintain accurate client and patient records, including histories, communications, veterinarian preferences, and pending tasks in the practice-management system
- Communicate treatment recommendations, estimates, medications, discharge instructions, and follow-up plans clearly and compassionately, within the direction of the clinical team
- Process payments, assist with third-party financing, support medication-refill requests, and complete end-of-day reports and reconciliation accurately
- Protect client privacy and confidential information while delivering consistent, professional service
- Support promotions, events, memorial care, inventory-related communication, and other projects that strengthen the client experience
- Help the hospital team during busy periods with practical, patient-centred support
What we’re looking for
- Previous client service, reception, administrative, veterinary, medical, or healthcare experience; veterinary experience is an asset
- Excellent written and verbal communication, with the judgment to adjust tone for routine, urgent, and emotionally sensitive situations
- Strong organization, attention to detail, prioritization, and follow-through in a fast-paced environment
- Comfort learning and using practice-management software, phones, email, scheduling, payment systems, and basic financial reconciliation
- A warm, professional, client-first approach and genuine respect for people and animals
- Ability to maintain confidentiality and handle sensitive information responsibly
- Willingness to support a collaborative team and contribute to a positive clinic culture
Compensation and start date
CA$18.00–$25.00 per hour, based on relevant client-service, veterinary, administrative, and practice-management experience, demonstrated skills, and responsibilities. Candidates with less directly relevant experience will generally be considered toward the lower end of the range, while candidates with strong veterinary or comparable client-care experience may be considered toward the upper end.
