We are seeking an experienced and certified Medical Office Assistant (MOA) who is self-motivated, ambitious, and quick to grasp new concepts efficiently.
Position Overview:
As a Medical Office Assistant at Vibe Medical Specialists, you will play a crucial role in supporting physicians and ensuring the smooth operation of our clinic. Reporting to the clinic manager, your responsibilities will encompass a variety of administrative and clinical tasks with a strong emphasis on maintaining patient confidentiality and compliance with HIA rules.
Preferred Qualifications:
- Completion of a Medical Office Assistant Program.
- Previous experience in a healthcare setting, particularly with strict adherence to privacy and confidentiality protocols.
Key Duties & Responsibilities:
- Strict Adherence to Patient Confidentiality:
- Uphold all aspects of the Health Information Act (HIA) and complete mandatory privacy courses.
- Handle all patient information discreetly and securely to maintain confidentiality.
- Ensure compliance with privacy regulations in all communications and documentation.
- Electronic Medical Records Management:
- Utilize the EMR system (Accuro) and other applications to schedule appointments, prepare for visits, and maintain accurate documentation.
- Implement best practices for data security within the EMR system.
- Patient Interaction:
- Answer phones and greet patients professionally while safeguarding sensitive information.
- Receive and communicate messages accurately, ensuring confidentiality at all times.
- Room patients and take vitals (Blood Pressure, Heart Rate, Height, and Weight) with respect for patient privacy.
- Scheduling & Coordination:
- Book appointments and procedures in both hospital and outpatient settings.
- Coordinate patient preparation for procedures, emphasizing privacy considerations.
- Maintain a comprehensive electronic calendar for physicians, ensuring all scheduling respects patient confidentiality.
- Documentation & Communication:
- Prepare and reconcile medical documents and requisitions with meticulous attention to confidentiality.
- Proofread and securely fax clinical letters, adhering to privacy protocols.
- Process referrals and communicate with referring physician offices regarding statuses or appointment details discreetly.
- Clinical Support:
- Interview patients to complete intake forms, update demographics, and screen for illnesses while ensuring privacy.
- Educate and support patients regarding their visits and healthcare needs, maintaining discretion.
- Clinic Maintenance:
- Maintain exam rooms by cleaning, disinfecting, organizing, and restocking supplies according to infection control standards (AHS/AMA).
- Apply proper handwashing techniques and follow all infection control protocols.
- Additional Responsibilities:
- Tend to various patient follow-up tasks delegated by the physician and/or clinic manager, ensuring confidentiality.
- Display flexibility and dedication to work—shift patterns may include occasional weekends (Saturday).
