Job Overview:
Peanut Butter Painting is looking for a fast, friendly, phone-first Sales Admin whose entire job is one thing done exceptionally well: catch every lead the moment it comes in, pre-qualify it, and book it into an estimator's calendar. When a homeowner reaches out, they're comparing us against other painters in real time — and the company that answers first almost always wins the job. That's you. You are the front door of the business.
This is not a general office role. You won't be doing payroll or filing. You'll live in the phone and the CRM, and you'll be measured on speed, booking rate, and how well you follow the script.
Key Responsibilities:
- Rapid Lead Response: Respond to every inbound lead — call, form, or text — within 2–5 minutes of it landing. Speed is the single most important part of this role.
- Answer Inbound Calls: Handle incoming calls professionally and warmly, making every homeowner feel taken care of from the first hello.
- Pre-Qualify Every Lead: Follow our proven script to qualify the homeowner — scope, timeline, location, and fit — so estimators only spend time on real opportunities.
- Book the Appointment: Get qualified leads onto the estimator's schedule then and there. The goal is booked, not "will call back."
- Follow Up Relentlessly: Chase leads that don't book on the first touch until they're booked or clearly dead.
- Keep the CRM Clean: Log every lead, note, and outcome so nothing slips through the cracks and the team always knows where each lead stands.
The Schedule — Read This Carefully:
This role is built around coverage, not hours. Leads don't come in on a 9-to-5 schedule, so neither do you. Here's what that means in plain terms:
You need to be reachable and ready to respond from dawn until dusk, six days a week, with Sundays completely off. When a lead comes in, you jump on it fast — but when it's quiet, you're free to live your life. Most days the actual work is only a few hours total; it's just spread across the day and impossible to predict. Think of it less like a shift and more like being on call: phone on, ready to move the moment something lands, but not chained to a desk in between.

Qualifications:
- Speed & Reliability: You answer fast, you follow through, and people can count on you. This is the whole ballgame.
- Phone Presence: Warm, confident, and easy to talk to. Homeowners should feel comfortable within seconds.
- Coachability: You'll be given a script and a system. You run the play as designed and get better every week.
- Sales Instinct: You know the difference between "booked" and "maybe," and you push politely for the booking.
- Organized: You keep the CRM tidy and never lose track of a lead.
- Tech Comfort: Comfortable in Google Sheets and CRM software, or a quick study.
- Remote Setup (if remote): A quiet space and reliable phone/internet for taking calls throughout the day.
- Experience: Sales, reception, appointment-setting, or customer service a plus — but hunger and reliability matter more than a résumé.
