MINIMUM FORMAL EDUCATION/TRAINING:
- A Bachelor’s degree or college diploma, preferably with a major in management information systems, accounting and finance, business administration, public administration, computer information systems or a related field, or equivalent combination of education and experience is required.
- Certified Business Analysis Professional (CBAP) certification, preferred.
EXPERIENCE:
- A minimum of three years of experience in business analysis and advanced level experience in supporting Ellucian Banner Student or other complex relational SIS, required.
- Experience in creating and documenting test cases, test plans and conducting testing is required.
- Experience with business processes improvements is required.
- Experience working with BPMN (Business Process Notation) is required.
- Experience in the functional configuration, modification, or maintenance of complex relational databases is required.
- Experience training and supporting system end-users is required.
- A successful track record of forming relationships and working with others across departments and within teams, required.
- Experience in interpreting rules, regulations, and business processes at the University of Manitoba, is required.
- Experience with academic advising, scheduling courses, degree audit or registration at a post-secondary institution, preferred.
- Knowledge of fundamentals of change management, process improvement and communications is required.
- Knowledge of fundamentals of functional systems analysis, configuration and testing and methods of developing operational process specifications is required.
- Knowledge of professional standards for key business systems and procedures, and methods including laws, ordinances, codes, and regulations (FIPPA/PHIA) related to student systems information processing is required.
- Knowledge of University of Manitoba’s curriculum and courses, admissions processes, registration processes, and financial aid and awards functions preferred.
- Knowledge of Complex higher education student information/admission/financial aid/degree audit systems design and operation including characteristics and capabilities of information processing preferred.
- Knowledge of System integrations and usage of Microsoft Power Automate preferred.
- Knowledge of Data analytics and tools like PowerBI is preferred.
- Knowledge of the inter-relationships of campus departments and the basis of faculty specific policies and practices University of Manitoba governance and the Registrar’s Office role in its application preferred.
- Advanced knowledge in Aurora Student/Banner, Slate, UM Achieve, Banner Student Aid would be an asset.
- An acceptable equivalent combination of education and experience may be considered.

Analysis & Coordination
- Analysis of existing business functions and processes related to RO Systems (Aurora Self-Service, Banner Admin Pages, Workflow, Experience, Argos, Astra).
- Investigate new software functionality. Implement and configure software based on business needs. Make recommendations to change business processes, enhance baseline processes or customize software to meet business needs. Provide consultation, configuration, and testing.
- Collaborate in the development of enhanced functions to better meet needs of ORES, academic units, and administrative units across the university.
- Act as a business analyst, bridging the gap between end-users and Information Systems Technology (IST) personnel. Provide in-depth consultation on business requirements, conduct thorough analysis, and design functional configurations for systems. Oversee the entire lifecycle of system modifications and integrations, from initial testing through to deployment, to ensure optimal system performance.
- Coordinate and oversee the development of the university’s course schedule across faculties by directing approximately 50 schedulers, establishing and communicating timelines and best practices, ensuring policy compliance, and providing expert support in Astra and Banner
- Analyze classroom scheduling and space utilization data, providing data-driven recommendations, maintain Astra room inventory and assign classrooms using established optimization procedures.
- Add, modify, and delete course schedule data in Banner, using knowledge of university regulations governing classroom scheduling with a high degree of accuracy and attention to detail.
- Document and analyze current state processes related to integrations, recommend improvements, and work collaboratively with technical teams to implement these solutions effectively.
- Translate user requirements into specific functional or technical solutions. Identify specific modifications/customizations to the system/software and where customization development is required, then implement with the technical team by providing advice on system functionality and data flow.
- Develop process flow documents using BPMN (Business Process Modeling and Notion) to identify opportunities for improving business processes through Aurora student systems and other associated information systems. Work with others to implement change.
- Develop test cases, test plans, and perform testing activities to ensure all features function as expected, including related to version upgrades in both Astra and Banner. Execute rigorous system testing including regression, performance, and security tests to verify the stability and efficiency of the SIS platform. Troubleshoot and ensure data integrity of all vendor updates and patches to the systems prior to release to the production system.
- Identify, analyze, and report software defects.
- Evaluate system data and develop specifications for end-user operational reports. Ensure error reports are assigned and dealt with in a timely manner.
- Support the set up and configuration of all aspects of the assigned functional area in a manner that meets the business needs of each academic term, and for determining related procedures and operational schedules.
- Maintain effective and cooperative working relationships with IST staff, academic/administrative units, campus planning office, vendor consultants and other ORES staff.
- Develop relationships/contacts with other institutions using the same or similar software(s).
- Keep up to date with current best practices as it relates to students and the University as a whole.
Documentation & Training
- Document system integrations, configuration, coding structures, system processes, business processes and customizations.
- Track and document changes in functional and business practices and write detailed procedures that can be easily understood by end-users.
- Assign classroom space, resolve scheduling conflicts, and work with faculty schedulers to address classroom assignment complaints.
- Provide direction, technical assistance, mentoring, and coaching to faculty-based scheduling staff, and other staff members as required.
- Provide end-user training and support for several different functions and systems, including Banner and Astra.
- Other duties as assigned.
