MINIMAL FORMAL EDUCATION REQUIRED:
- Completion of a formal training program in a related discipline from a recognized institute plus four years of directly related experience is required.
- A bachelor’s degree with three years of experience or a master’s degree with one year of experience. Degree should be in a polar science discipline, and experience should be related to the degree and/or related to business or project management is preferred.
EXPERIENCE:
- Experience managing projects with large numbers of members is preferred.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Proficiency in Excel or related spreadsheet software is required.
- Creativity for maintaining a website designed for public communication is required.
- Familiarity with polar research for organizing lectures and journal clubs is required
- Time management, note taking, and organizational skills are required.
- A satisfactory work record, including satisfactory attendance and punctuality, is required.
Planning virtual project activities:
- Scheduling a monthly virtual lecture series, including contacting lecturers, communicating dates to project members, and moderating and/or arranging moderation for lectures on Zoom or similar platforms
- Facilitating the scheduling of virtual journal clubs for student teams
- Facilitating scheduling of virtual student-led technical workshops
- Scheduling an annual online virtual mini-conference, including receiving and organizing abstracts, organizing an agenda, communicating dates and relevant information, and setting up meetings on Zoom or similar platforms
Tracking project members, budgets, Tracking project members, budgets, and annual reporting to NSERC and annual reporting to NSERC:
- Maintain organized list of PIs, collaborators, and full and affiliate student members of the project
- In collaboration with CEOS financial staff, keep records of spending on student stipends, travel costs, and summer schools
- Assist in booking travel for students and PIs from UofM and other institutions
- Assist in submitting financial claims for students and PIs from UofM and other institutions
- Maintain lists of other metrics requested by NSERC, including (but not limited to): length of student travel, value-adding interactions with people outside the project (speakers, collaborators, etc.), locations of student position postings along with response rates and evaluation procedures, dates and attendance numbers at virtual and in-person activities
- Lead writing of annual report to NSERC
Organizing annual summer schools in 2028-2032:
- Facilitate regular communications with instructors and attendees
- Organize bookings for travel, lodging, and equipment for instructors and attendees
- Communicate with facilities to organize scheduling and teaching spaces
Communications with project advisory team:
- Schedule, attend, and take notes at meetings with project advisory team
- Work with PIs to adjust activities as needed to ensure meeting project goals
Managing project media communications:
- Maintain up-to-date lists of project members, schedules, and activities on a dedicated website, hosted through a service such as Squarespace
- Contact students and PIs to obtain pictures and write-ups from project activities
- Communicate accomplishments through websites, social media, and/or outlets such as UMToday
- May be required to perform related duties not exceeding skills and capabilities.
