Overview
This dual-role position combines executive support and IT systems coordination. The successful candidate will manage executive schedules, support cross-functional IT initiatives, oversee Microsoft 365 security, assist with ERP administration, and provide end-user help desk support. This role is ideal for an organized, detail-oriented individual with a strong foundation in administrative support.
Key Responsibilities
Executive Support & Calendar Management
- Manage executive schedules, meetings, and travel arrangements.
- Act as a liaison between leadership and internal/external stakeholders.
- Prepare reports, presentations, and handle logistics for board meetings.
IT Systems Coordination & Help Desk Support
- Respond to help desk inquiries, troubleshoot IT issues, and maintain documentation for help desk procedures.
- Provide IT training to employees and manage Microsoft 365 security, implementing multi-factor authentication (MFA), data loss prevention (DLP), and basic cybersecurity protocols
- Manage and maintain endpoint devices, including laptops, desktops, tablets, and phones, enforcing mobile device policies.
- Collaborate with the IT team to manage access control and respond to security incidents.
ERP Implementation & Administration
- Assist with the implementation and administration of the company’s ERP system, ensuring it integrates seamlessly with other business processes.
- Provide day-to-day management of ERP users, workflows, and security permissions.
Communication & Project Coordination
- Manage executive communications, including emails and memos, ensuring efficient project follow-up.
- Track cross-departmental projects and follow up on deliverables.
- Facilitate communication between IT and business units for ongoing projects and IT initiatives.
- Organize internal events and meetings, as well as knowledge resources and FAQ articles for IT and HR processes.
Qualifications
Education:
- Bachelor’s degree in Information Technology, Business Administration, or a related field, or equivalent experience.
Experience:
- 3-5 years of experience in IT administration, executive support, or a similar dual-role capacity.
- Proven experience managing Microsoft 365 security, ERP systems, and help desk administration.
- Familiarity with IT tools such as endpoint security, network protocols, and mobile device management (MDM) solutions.
Skills:
- Strong organizational, problem-solving, and troubleshooting skills.
- Excellent multitasking abilities and a proactive approach to communication.
- Proficiency in cybersecurity best practices, including network security and data protection.
- Ability to manage multiple tasks with competing priorities and work well within a team environment.
Preferred Qualifications:
- Experience with project management tools (e.g., Asana, Trello, Microsoft 365 Planner or Sharepoint) and CRM platforms (e.g., Salesforce, Microsoft Dynamics).
- Familiarity with the maintenance or automation of administrative tasks.
- Microsoft Certified: Security, Compliance, and Identity Fundamentals, or other relevant certifications.
Salary Range: CAD 65,000 – CAD 80,000 per year, depending on experience and qualifications.
