Number of Available Positions: One (1) Full-Time Regular Position

Primary Focus: The Records Scanning Clerk is responsible for providing ongoing support to the Supervisor, Records Administration by assisting in the day to day operations of records scanning, correction and filing functions.

Responsible for scanning all As-Laids, Field Notes, Service Sketches, Construction Job Cards and Street Service Tickets and for uploading to iViewer.
Responsible for Document Tracker mailbox //check//, completing corrections, deletions and updates to iViewer as directed by company crews, EA’s and locate service providers.
Responsible for working Reports listings from iViewer and Document Tracker
Responsible for administration of Failed report & exception mailbox, for purpose of re-uploading to iViewer
Update and correct company paper records (as required)
Support Records Coordinators
Manage queue in Maximo
Research Asset IDs in Maximo and PMTS asset management system for purpose of indexing records
File all As-Laids, Field Notes, Service Sketches and Construction Job Cards/Street Service Tickets
Maintain GABS room and Records Library, ensuring the organization and accuracy of all filed records.
Identify issues with Bulk Uploader, iViewer and Document Tracker, creating Service Desk tickets.
Write and execute test scripts for Document Tracker and iViewer (as required)
Complete one time requests as directed by Supervisors/Managers of Records.
Troubleshoot minor problems with scanners used in Records and request repair from IT Department for any repair work too difficult to handle.
Prepare copies of As-Laids and Field Notes for municipalities that require them as part of our Franchise agreements (Some monthly, some per request).

Minimum High School Diploma
Strong organizational, interpersonal, time management and analytical skills
Working knowledge of scanners
Working knowledge of operations application including GIS, Maximo, PMTS, Storms and Document Tracker/iViewer
Proven experience to read and understand Distribution Records

3 -5 years of experience with the Natural Gas Industry
Formal training in GIS, iViewer, Maximo and PMTS / Storms
Knowledge of Company Policies and Procedures (Engineering Manuals/Planning Manuals)
