Executive Assistant
We are seeking a highly experienced and proactive Executive Assistant to support a senior executive and take ownership of a broad range of operational and administrative responsibilities. This role is ideal for someone who is exceptionally organized, thrives in fast-paced environments, and has strong experience managing executive priorities, event coordination, and business operations.
The successful candidate will play a critical role in helping streamline day-to-day operations while acting as a trusted partner to leadership.
Key Responsibilities
Executive Support
- Manage and coordinate a complex executive calendar, including scheduling meetings, travel, and priorities
- Inbox management and communications coordination
- Anticipate needs, manage competing priorities, and ensure smooth daily operations
- Prepare meeting materials, agendas, and follow-up action items
Event Planning & Coordination
- Lead planning and execution of conferences, meetings, and corporate events
- Coordinate event logistics including travel, accommodations, vendors, registrations, and on-site support
- Support approximately 10–15 conferences/events annually across Canada
- Ensure events are delivered professionally and efficiently
Operations & Administration
- Support day-to-day administrative and operational functions
- Assist with document preparation, reporting, and process coordination
- Maintain organized systems and workflows to improve efficiency
Payroll & Team Support
- Assist with payroll administration for a small team
- Coordinate with internal and external partners to ensure payroll accuracy and timeliness
- Support general team administration as needed
Qualifications
- 5-8 years of experience as an Executive Assistant supporting senior leadership
- Exceptional organizational and time-management skills
- Strong experience coordinating events, conferences, and travel logistics
- Proven ability to manage confidential information with professionalism and discretion
- Excellent written and verbal communication skills
- Highly proactive, resourceful, and detail-oriented
- Comfortable working independently in a hybrid environment
- Payroll experience is strongly preferred
Work Environment
- Hybrid role based out of the London office approximately 2 days per week
- Travel within Canada required for conferences and events
Ideal Candidate
We are looking for someone highly experienced who understands how to operate as an effective Executive Assistant at a high level. The ideal candidate is confident managing multiple priorities, thrives in dynamic environments, and can gradually assume significant responsibility while becoming a trusted extension of the executive team.
Pay: $80,000.00-$90,000.00 per year
