The Executive Director (ED) is a pivotal role at Hepcat Swing―they head the day-to-day operations of the studio, enthusiastically promote and develop the services we offer, and overall, ensure that Hepcat’s mission is brought to life. This position reports to the Board of Directors (the Board), is paid by the Board, and holds an “ex officio” position on the Board.
Term: 12 months, with the possibility of extension
Hours: 15 hours per week, scheduled at the discretion of the ED
Salary: $25.00 per hour
Duties and responsibilities include, but are not limited to:
Working with the Board
- Attend regular Board meetings, make reports to the Board at meetings, and communicate regularly with the Board as required
- Communicate with Board members in a collegial and timely manner, answering questions within 2 business days or less (unless on a Board-approved leave of absence)
- Along with the Board, ensure that Hepcat Swing’s compliance with all federal, provincial, and municipal legislation and regulations, in particular the Ontario Not-for-Profit Corporations Act
Operating the Studio
- Oversee the physical maintenance of the studio itself, including regular cleaning and stocking of the bathrooms, cleaning the dance space, garbage/recycling removal, inventory and organization of electronic equipment, and collaborating with the owners of the building when necessary to ensure the proper maintenance of all building functions (with the help of volunteers as needed)
- Oversee the provision of services offered by the studio, including regular social dances, lessons, social events, with the help of volunteers and staff as needed
Managing finances
- Act as a signing authority for the Hepcat Studios bank account, along with at least one member of the Board
- Work with the Board to create, monitor, and report on budgets
- Ensure that bills (such as rental fees, utilities, musician fees) are paid on time and in full
- Keep accurate and detailed records regarding all spending on behalf of Hepcat Studios
- Keep receipts for all expenses that are to be reimbursed by Hepcat Studios
- With guidance from the Board, develop, implement, and report regularly on a fundraising plan that includes funding from grants, sponsorships, special events, and/or donors
- With guidance from the Board, provide recognition for sponsors and donors, and ensure that grant requirements are met in a timely and thorough fashion
Managing studio rentals
- Maintain rental agreements with current partners renting the studio space, and ensure that renters are in compliance with said agreements
- Communicate with existing and potential renters as needed in a professional manner
Marketing and communication
- Oversee the maintenance of the Hepcat Swing website, Facebook page, and “info” email address, with the help of volunteers as needed
- With guidance from the Board, develop, implement, and report regularly on an updated marketing campaign, to advocate for Hepcat Swing’s offerings (social dances, lessons, special events, rentable studio space) in the community at large and/or with targeted partners
- Communicate clearly, factually, and proactively, with cultural awareness and empathy
- Genuinely listen and accept feedback openly
Administration and Human Resources
- Log hours worked in detail, including dates, times, and tasks accomplished, and submit weekly to the Board
- Recruit, train, and develop capable and diverse volunteers, teachers, and other staff
- Manage volunteer and staff performance through clear job descriptions, regular feedback, and training/development opportunities
- Effectively delegate tasks to volunteers
- Ensure compliance with organizational policies and procedures, and workplace laws and regulations
- Ensure all business records are retained, and licenses are renewed in a timely manner
General
- Attend at least one social dance per month
- Maintain a positive, inclusive, welcoming atmosphere for all dance enthusiasts
- Creatively and passionately seek out and act upon (with Board approval) opportunities for innovation, growth, improvement and positive change
Qualifications:
● Experience in arts management and/or non-profit management
● Experience managing small business (or similar) budgets
● Excellent written and oral communication skills in English, including relationship-building with community members, funders, and donors
● Demonstrated ability to meet deadlines and manage time effectively
● Proficient with Google Suite tools
● Volunteer management experience an asset
● Grant application experience an asset
● Quickbooks, Square, and Wordpress experience an asset

● Familiarity with the Southern Ontario swing dance scene
