Now we're looking for a driven Event Coordinator to join our crew and help deliver exceptional experiences from the very first inquiry to the final follow-up.
The Role
This is a full-cycle event coordination role. You will own the entire event journey — from responding to initial inquiries and building customized packages, to coordinating internal logistics, executing on the day, and following up with clients afterward. You are the face of the PowerPlay event experience and the connective tissue between our clients and our team.
Key Responsibilities
Pre-Event Planning & Client Consultation
Respond promptly to inbound event inquiries and serve as the first point of contact for prospective guests. Consult with clients to understand their vision, group size, and budget, then create customized proposals and entertainment packages tailored to their needs. Upsell and cross-sell add-ons such as catering, drink packages, and arcade credits to maximize event value. Prepare contracts, confirm deposits, and maintain accurate event files in Tripleseat throughout the planning process.
Internal Coordination & Communication
Serve as the central point of communication between the client and all internal departments — operations, kitchen, bar, and entertainment. Build detailed BEOs and event timelines, coordinate room setups and A/V requirements, and ensure every team member is fully briefed well in advance of each event. Proactively manage changes and special requests, keeping all stakeholders informed and aligned.
Day-of Execution
Be on-site to oversee events from setup through wrap-up. Greet clients and guests, manage the flow of the event against the BEO, and troubleshoot any issues on the fly. You are the go-to person on event day — calm, solutions-focused, and always one step ahead.
Post-Event Follow-Up & Relationship Building
Follow up with clients after every event to collect feedback, address outstanding items, and identify opportunities for repeat business and referrals. Build and maintain strong relationships with corporate clients, community groups, schools, and sports organizations. Debrief with internal teams to identify what went well and where processes can be improved.
Reporting, Outreach & Continuous Improvement
Prepare weekly and monthly reports on event activity and client feedback for management review. Support the Marketing & Events Managers in implementing strategies and activating promotions that drive new bookings. Represent PowerPlay at networking events, trade shows, and community initiatives. Keep up to date on entertainment and hospitality trends to identify new business opportunities, and contribute ideas to improve the overall event process and customer journey.
What We're Looking For
- Proven experience in event coordination, hospitality, or a similar client-facing role.
- Exceptional organizational skills with the ability to manage multiple events and timelines simultaneously.
- Strong communication and interpersonal skills — confident, warm, and professional with both clients and colleagues.
- A proactive, solutions-oriented mindset, especially under pressure.
- Meticulous attention to detail when it comes to proposals, contracts, BEOs, and logistics.
- Experience with Tripleseat or similar event management software is a strong asset.
- A collaborative team player who works effectively across departments.
- Flexibility to work evenings and weekends in line with event schedules.
